Digital Technology Services (DTS) is searching for a Project Specialist to participate in a full-time, one-year program designed to provide real-life experience in health care IT. The project specialist will work on a variety of projects and initiatives, gaining exposure to different aspects of the organization. The goal of the program is to develop the team member's skills and provide the experiences necessary to launch a career in health care IT.
Project Specialists will rotate through three areas of DTS, spending four months being guided and educated in each. Project specialist will work with the program administrator to select areas of interest. The team member will gain an in-depth understanding of each service line, department, and/or specialty area they are placed in. They will work closely with leadership on projects resulting in a positive impact on the quality of delivery by the service line, department, and/or specialty area. Areas of interest include: Clinical Informatics, Cloud & Core Infrastructure, Data & Analytics, Digital Engagement, Health Applications, and Office of the CDIO
During the program, project specialists will receive guided professional development through monthly education courses. Courses address learning in leadership, administrative skills, health care industry knowledge, and general professional development. Program specialists will be guided and mentored throughout the program by multiple people, including senior leaders, the program manager, and an external coach.
We are looking for candidates that are currently enrolled or are recent graduates from a Master's Degree program.
Hybrid- 2 - 3 days average per week in Edison, NJ.
A day in the life of a Information Technology (IT) Project Specialist at Hackensack Meridian Health includes:
- Coordinate intake/project activities, resources, equipment and information.
- Divide intake requests/projects into doable actions and assist to set timeframes.
- Liaise with stakeholders to identify and define scope, objectives and risks.
- Assign tasks to internal teams and assist with timeline management.
- Make sure that stakeholder needs are met as intake requests/projects evolve.
- Help to calendar large or complex stakeholder meetings.
- Help prepare meeting agendas, minutes and presentations.
- Monitor intake and project task progress and communicate/escalate issues that arise.
- Work with the IT PMO Director, Portfolio Managers or Project Managers to eliminate blockers.
- Use tools to monitor intake of requests, project tasks, progress, working hours, plans and change requests.
- Issue all appropriate project templates and tools including but not limited to intake survey, project charter, project schedule, project meeting agendas and minutes or presentations.
- Create and maintain comprehensive intake requests, project/portfolio documentation, plans and reports.
- Documents processes, as specified by the department.
- Provide coverage as necessary for IT Project Managers.
- Works collaboratively with other team members to achieve group goals.
- Publishes and maintains IT PMO tools, templates and metrics.
- Periodically reviews and refines IT PMO tools and templates with the IT PMO Director.
- Ensure standards are followed through conducting quality assurance reviews.
- Other duties and/or projects as assigned.
- Adheres to HMH Organizational competencies and standards of behavior.
Education, Knowledge, Skills and Abilities Required :
- Bachelor of Science in Business Administration or related field; and/or a Minimum of 5+ years of experience relevant to the responsibilities of this position.
- Proven work experience as a Project Coordinator or similar position.
- Intermediate to advanced skills with Google Workplace (Docs, Sheets, Slides, and Forms, etc.) and/or the Microsoft Office suite of tools.
- Experience in project management activities from conception to delivery.
- Ability to respond to questions from managers, customers, and other employees of the organization.
- Must have the ability to communicate complex technical information in an easy-to-understand way.
- Understands competing priorities, effectively manages simultaneously occurring intake/project activities or tasks and adapts to the dynamic needs of the department.
- Solid organizational skills, including multitasking and time-management.
- Strong client-facing interpersonal and teamwork skills.
- Strong problem-solving abilities.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively prepare clear presentations based on direction.
Education, Knowledge, Skills and Abilities Preferred :
- Hands-on experience with project management tools.
- Project Management training/education.
- Experience supporting different project activities throughout a project lifecycle.
- Familiarity with risk management and quality assurance control.
- Knowledge in ServiceNow.
- An ability to prepare and interpret flowcharts, schedules and step-by-step action plans.
- Ability to read, analyze and interpret general business communications, professional journals, or technical procedures.
Licenses and Certifications Preferred :
- Certified Associate in Project Management (CAPM).
