Job description
The Clinic Manager functions as the lead administrator for one specific site. They provide oversight, coordination, communication, organization, documentation, and administrative support for the site while present in the center.

Job Description
- Communicates with all members of the Treatment Team regarding client specific information, cancellations, staff changes, information from parents.
- Scheduling/sending out invites and gathering needed information for all paraprofessional and closer to and from all parties: Human Resources and Clinicians
- Supports training of staff with CR billing or data collection, when needed
- Maintains professionalism in all personnel related matters: Communicates with needed parties Demonstrates fairness amongst all staff and m aintain kind, positive, clear, and consistent boundaries
- Demonstrates independent problem-solving skills, but is able to seek support from appropriate parties when needed
- Mainly responsible for management of employee behavior within clinic location: May include deficits in skill areas when observed, to be communicated to treatment team via email
- Oversees and approves all CR billing for: all paraprofessionals, nighttime closer
- Updating BCBA/Clinician, and cc Lead Clinician on client cancellations at least once monthly via email
- Responsible for scheduling of staff at their center, including call outs and last-minute changes and i ncludes clinical needs/input from Lead clinician or other available clinician. Follow specifics from clinician staffing flowchart
- Tracking client cancellations via designated workbook w ith potential of tracking via Central Reach (in Future)
- Minimum weekly meeting/communication with any other group leaders at this site (Weekly clinical meeting)
- Run weekly kick off meetings
- Run monthly all staff meetings
- Relays client cancellations to OT as needed
- Relays OT cancellation or rescheduling information to FBS team
- Responsible for escalating OT needs to Executive Director
- Sends new client OT intake form to OT
- Coordinating clinic-wide activities in collaboration with GC
- Meeting with other clinic SCs weekly
- Attends monthly clinic meeting as needed
- Social media/Marketing support- minimum of 2 posts per month: content to be clinic happenings, themes, etc.
- Relays company staffing needs via email to Staffing Coordinator weekly
- Attends leadership trainings and classes as requested
- Responsible for documenting all maintenance related issues in clinic to Property Manager, and cc'ing Executive Director, via email
- Ensures cleanliness throughout the center, ensuring chore chart is utilized daily, keeping sign-in/out sheet for clinic technolgy and k eeping sign-in/out sheet for clinic technology. Ensures storage space is adequate and storage is being utilized. Assigning extra cleanliness tasks to staff and closers
- Ensures timeliness of center-based staff by visual check in and out sheet
- Tracks tardiness/leaving early for all staff via designated workbook
- Ensuring completion of staff billing each day,
- Conducts weekly billing checks/follow ups and signs off on billing log
- Ensures proper tracking of Lead/TC billing on designated paperwork
- Promotes FBS values, mission, and culture inside and outside of the Clinic.
- Collaborates with TC's or other members of the treatment team to coordinate staff make up hours or added hours in clinic
- Hold staff check in meetings monthly
- Addresses clinical needs as directed Clinical Supervisor/BCBA; ensures BIP is followed by staff and assists with behavior crises
- Updating center documentation as needed
- Write a monthly newsletter.
- Responsible for scheduling and conducting at least 2 monthly fires and evacuation drills, keeping all required documentation associated with fire and evacuation drills up to dat as well as FBS evacuation drill report, a ttendance sheet and Emergency contact log for staff and clients
- Send emails at least monthly to families or as needed while ensuring HIPPA protocols are followed for all parent emails
- Send emails to staff at least once per month or as needed
- Calling and canceling clinic-based services for children when needed based on staffing availability in clinic or display of symptoms
- Making decisions when and how to offer to send staff home due to client staff ratio
- Helping with making lunches
- Responsible for clinic scheduling alongside the lead BCBA/Clinician
- Responsible for introducing new staff to the clinic and team and g iving new staff clinic tour
- Supports company-wide training for PD Days and other trainings: Set up attendance logs, Name tags and o ther tasks as designated by trainers and leadership
- Updating parents and staff of upcoming closures, updates, and important information as needed
- Setting up therapeutic visual supports around the clinic with the aid of lead clinician
- Being present on site for all scheduled work hours
- Communicates issues/concerns with supervisors, directors, and HR as soon as they arise
- Responsible for documenting all staff meetings through appropriate email follow up procedure
- Holds writeup/training opportunity meetings with staff when needed
- Sends all staff incident/injury reports to HR/direct supervisor same day
- Sends all documentation of these instances to HR same day
- Emails clinical/skill feedback directly to Clinician and TC
- Directs paraprofessionals to follow schedule throughout the day
- Respond to emails during all work hours, when available, and prior to start and end of every day
- Coordinate with FBS via Microsoft Teams
- Coordinate parts of crisis management during work and non-work hours, as needed
- Supervises Nighttime Closer: Assigns tasks as needed, Ensures closer completes all tasks and checks in daily with updates and p rovides direct feedback and training
Schedule:
- 40+ hours per week in clinic
- Cover mostly daytime hours during week in clinic.
- Additional meetings or trainings outside of proposed work schedule, as needed.
Requirements:
- CPR and QBS
- Availability to work 40+ hours a week to complete clinic needs, including evenings as needed.
- At least 2 years' experience working in ABA services, clinic preferred.
- Management experience a plus
- Hold active Registered Behavior Technician certificate, or completion within 60 days.
- Bachelor's degree in related field
- Availability for on-call crisis support during all non-work hours.
