Job description
Position Summary:
A busy executive with a long-tenured team in Newport Beach, CA is hiring an Estate Manager / Personal Assistant as the current individual is retiring.
The right person has experience managing multiple properties and managing the day-to-day details for a busy executive. The is a long-term opportunity and a hands-on role.
You will report to the Director of Family Office Operations and the Principal.
Responsibilities:
- Serve as a single point of contact between the Family Office team/Principal and the residential staff.
- Manage preventative and routine maintenance and the general upkeep of multiple properties. Keep the residences principal-ready and well stocked.
- Oversee staff, vendors, and contractors. Communicate with staff daily – phone, text, email.
- Coordinate with team members to manage significant collections and local maritime assets.
- Daily communication with the EA on the principal’s schedule and calendar.
- Responsible for daily spending decisions operating within approved budgets. Submit expense reports and receipts to the Family Office
- Continuously update the household manuals and inventories via Syncplicity.
- Manage technology systems in the residences.
- Personal services include, grocery shopping, personal errands, monitoring supplies in the residence, packing for travel, collecting dry-cleaning, presenting documents for wet signature.
- Occasional event planning and execution.
Qualifications:
- A minimum of ten years’ experience managing high-end private residences with verifiable references.
- Bachelor’s degree.
- High EQ with proven leadership experience.
- Flexibility for a 24/7 on-call lifestyle, adapting to the principal’s needs.
- Builds strong relationships with team.
- Capable problem-solver that enjoys anticipating the needs of the principal and being a step ahead.
- Able to work well independently and take ownership of tasks and projects.
- Demonstrates sound judgement.
- Excellent verbal and written communication skills; strong technology skills needed.
- Available to work in-person daily, this is not a remote role.
- Must have a valid driver's license and a reliable vehicle that you can use for work.
Schedule:
Generally, a Monday - Friday schedule, with a high degree of flexibility required for extended hours and weekends. The team needs someone who quickly responds to texts and phone calls after hours.
Compensation:
Competitive compensation of $175,000 - $200,000 with an excellent benefits package. Car allowance included.
