Overview:

As PBX Operator you are responsible for processing incoming and outgoing communications courteously, while maintaining a positive and professional image.

ESSENTIAL FUNCTIONS:

  1. Answer and process all incoming/outgoing guest and in-house calls.
  2. Check bulletin board and log books for all pertinent information.
  3. Forward messages and faxes as needed to guests and various departments.
  4. Responsible for HotSos communications between security, engineering, and housekeeping.
  5. Ensure all phone request logs are completed in their entirety, follow-up on any discrepancies, and report any continuous issues to the Front Office Manager.
  6. Responsible for blocking all group and contracted rooms. Ensure airline rooms are checked-in and checked-out correctly and billing is accurate.
  7. Attend Group Rooms meetings and present status reports on blocks, pick-up, cancellations, billing and package codes.
  8. Manage Airline Key Cards, Assignments, and Check Ins
  9. Administration of Calendly, HotSOS, Salto and Zingle
  10. Manage and ensure PBX team is working efficiently and communicating effectively with guests and staff
  11. Maintain Space Chart and Balance room types as needed
  12. Assist with discrepancies; i.e Billing, Unresolved Check Outs
  13. Assign Condo Reservations; Tetris
  14. Create and Update SOPs as needed
  15. Oversee & provide: no show, amenity, comp/off market, and missing inventory reports to designated team members.
  16. Any other duties as the position develops and is assigned by the Director of Rooms, Front Office Manager, or Assistant Front Office Manager.
