Job Description: Part Time Administrative Assistant, Health Professions Division Up to 20 hours/week, non-benefited position Danvers campus GENERAL STATEMENT OF DUTIES: Responsible for providing administrative support within the Health Professions component. The ideal candidate must possess the ability and temperament needed to support a vital office. Successful candidates must be detailed oriented, have a high level of productivity, possess strong computer skills and exhibit exceptional interpersonal and customer service skills.
DUTIES & RESPONSIBILITIES - Take notes and draft material needed for internal and external communication such as correspondence, reports, forms, email, etc. (including that of a confidential nature).
- Edit student and faculty handbooks as needed by faculty/staff.
- Prepare syllabi, tests, letters, assignments and other materials as needed by faculty/staff.
- Retrieve data in the BANNER system related to student records/inquiries.
- Enter data in specific program tracking systems using Microsoft Office and Google Suite
- Assist with and track Clinical Contracts
- Assist with Coursedog as needed
- Assist with Program Information Session RSVPs via Calendly or Google Forms
- Assist with the administration of early and mid-semester alert system and assist with collecting and processing grades.
- Handle incoming/outgoing telephone/email communications.
- Collects, opens, and routes incoming mail and correspondence as needed.
- Greets visitors, provides information and/or refers inquiries to appropriate person/office.
- Develop and maintain files, records, and databases as needed.
- General office support.
- Other related duties as assigned.
SUPERVISION RECEIVED: Reports to the Dean of Health Professions
Requirements: - A minimum of two years related office experience or the equivalent combination of education and experience required. Experience in higher education strongly preferred.
- Advanced proficiency with Microsoft Office and Google Suite required.
- Knowledge and experience with Banner system preferred.
- Must be able to take notes and compose/transcribe documents such as letters, memoranda, reports, correspondence and emails.
- Ability to work well under pressure in a fast-paced and confidential work environment.
- Must possess strong organizational and interpersonal skills and be able to interact effectively with faculty, staff, students and the public.
- Ability to prioritize multiple projects and work independently with minimal supervision in a multi-task environment.
- Must have strong proofreading, editing, and English language arts skills including spelling, grammar, word meaning and usage.
- Successful experience interacting with culturally diverse populations.
- Candidates will be required to pass a CORI/SORI background check as a condition of employment.
Additional Information: SALARY : $20.00 per hour, non-benefited position, up to 20 hours per week.
