Position Summary:
This position will perform all administrative support duties required for the Chief Executive Officer and Chief Academic Officer under the direct supervision of the Chief Executive Officer. This position requires knowledge of District procedures and policies, the ability to assume responsibility, work effectively and independently under pressure and maintain confidentiality.
Reports To: Chief Executive Officer
Major Responsibility:
The position is responsible for acting as the administrative point of contact between the Chief Executive Officer, Chief Academic Officer, staff and families. Undertaking the tasks of receiving calls, taking messages and routing correspondence. Handling Chief Executive Officer and Chief Academic Officer requests and queries appropriately.
Qualifications:
- Five years working in a central office environment and school district experience preferred.
- Exhibits listening, patience, caring and empathy when relating to staff and community.
- Possess skills in effective oral and written communication with a high degree of accuracy.
- Possess skills to organize ideas, time, materials and space with attention to details to accomplish goals and meet deadlines.
Position Responsibilities:
- Act as liaison between the Chief Executive Officer, Administrative Team, Board of Directors, and others in the District and Community.
- Assist the Chief Executive Officer, as directed, in critical communication with Board members; assist in maintaining positive Board relationships.
- Prepare all materials for the Board, including materials for regular and special meetings, study sessions, and closed hearings. Set up for and attend Board meetings, take and prepare minutes. Maintain regular communication with all Board members.
- Maintain Chief Executive Officer’s calendar, establishing priorities at own discretion; facilitate and screen internal and external appointments, schedule and coordinate meetings; ensure that all official obligations are met.
- Make all necessary arrangements for travel and conferences for Chief Executive Officer and Chief Academic Officer
- Process all donations by entering the gifts into the database, printing the letters, scanning and mailing letters to donors.
- Deposit checks by Mobile Deposit and enter into deposit list.
- In the absence of the Chief Executive Officer, coordinate with Chief Academic Officer or designee during crises or pressing situations.
- Receive telephone and in-person callers, maintaining a helpful, positive demeanor. Use discretion to determine those which are to be handled by the Chief Executive Officer personally, as well as those delegated to Chief Academic Officer, Dean of Students, CARE Team, or teachers. Make referrals as appropriate, answer general questions, including those requiring research or technical knowledge.
- Initiate and/or draft, prepare, and distribute a variety of documents, including but not limited to letters, memos, e-mails, acknowledgements, notices to staff, forms, and reports; sign specified correspondence on behalf of the Chief Executive Officer.
- Maintain official files and retrieval systems of the Chief Executive Officer
- Receive incoming mail; determine priorities; forward with appropriate notations to the proper person for response.
- Assist in maintaining current Gordon Parks Elementary District policies and procedures.
- Provide general coordination for Community Relations; review articles; design brochures as needed; review and approve all outside flyer distribution requests.
- Maintain regular attendance; adhere to District practice regarding attendance and leaves of absence.
- Fosters positive community relations over time.
- Builds trust and ongoing positive relationships with all stakeholders
- Participates in staff development opportunities provided by the district
- Demonstrates a positive attitude toward work assignment.
- Accepts responsibility for the work assigned and accepts constructive criticism.
- Additional school level responsibilities as assigned by Chief Executive Officer
