Job description

Ciprani Consulting is helping the Dental Office of Richmond to look for an experienced and organized Office Manager to supervise the administrative operations of a dental practice. As a crucial team member, you will be instrumental in maintaining the office's smooth operation, ensuring outstanding patient experiences, and facilitating effective communication among staff, patients, and parents. This role necessitates a blend of leadership, organizational, and interpersonal skills to foster a positive and efficient work environment. Compensation and Benefits: • Salary Range: $50,000 - $65,000 • Potential for performance-based bonuses • Paid vacation • Dental benefits package including orthodontics • Professional development opportunities • Collaborative and friendly work environment • Opportunity to make a positive impact on children's oral health and overall well-being Responsibilities: • Administrative Oversight: Take charge of the day-to-day administrative functions at the children's orthodontic hospital, overseeing tasks such as appointment scheduling, managing patient records, handling billing responsibilities, and coordinating insurance matters. • Staff Supervision:  Provide leadership and guidance to the front desk team, dental assistants, and support staff, ensuring a smooth workflow and adherence to hospital policies and procedures. • Patient Relations:  Cultivate a welcoming and child-friendly atmosphere, ensuring that patients and their parents feel at ease and well-informed during their visits. Address patient inquiries, concerns, and feedback promptly and professionally. • Appointment Coordination: Manage patient appointments, oversee the appointment calendar, and optimize scheduling to make the most efficient use of clinical resources while minimizing patient wait times. • Billing and Financial Management: Collaborate with the billing team to supervise accurate and timely billing processes, insurance claims submissions, and patient payment collections. Monitor accounts receivable and resolve discrepancies as needed. • Inventory Management: Keep track of office and clinical supplies, reorder as necessary, and ensure the cost-effective management of supplies and equipment. • Compliance and Regulations: Stay abreast of relevant healthcare regulations, privacy laws, and industry best practices. Ensure the hospital's compliance with HIPAA and other regulatory requirements. • Communication: Facilitate effective communication among staff, patients, parents, and healthcare providers. Participate in team meetings, share pertinent information, and foster a collaborative work environment. • Training and Development: Provide training and support to both new and existing staff members, ensuring they are well-versed in hospital procedures, patient care protocols, and customer service standards. • Problem Solving: Tackle operational challenges promptly, identify solutions, and implement process improvements to boost efficiency and enhance patient satisfaction. • Reports and Analytics:  Generate and analyze reports on patient demographics, appointment metrics, billing, and other key performance indicators. Utilize insights to make informed decisions and drive operational enhancements. Qualifications: • Bachelor’s degree in Administration, Business Management, or a related field (preferred). • Proven experience (2+ years) in office management, within a dental office setting. • Strong organizational skills with the ability to multitask and prioritize tasks effectively. • Excellent interpersonal and communication skills, especially when interacting with children and their parents. • Proficiency in office software (e.g., Microsoft Office suite, practice management software). • Knowledge of healthcare regulations, HIPAA compliance, and billing procedures. • Leadership qualities with experience in staff supervision and team management. • Problem-solving mindset with a proactive approach to addressing challenges. • Compassionate, patient-centered approach to healthcare services, especially when dealing with children. • Attention to detail and accuracy in maintaining patient records and financial information.
