Executive Assistant

Job Summary: We are looking for an experienced, highly organized, and detail-oriented Executive Assistant to provide high-level administrative support to our organization’s leadership. The ideal candidate will have exceptional organizational and communication skills, the ability to handle confidential information with discretion, and a proactive approach to problem-solving.
Responsibilities:
- Manage executives' calendars, appointments, and travel arrangements.
- Coordinate and schedule meetings, both internal and external, ensuring all necessary materials are prepared.
- Act as a point of contact between executives and internal/external stakeholders.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research and compile data to support decision-making.
- Perform routine office functions such as copying, faxing, sorting incoming mail, drafting correspondence, screening phone calls, maintaining executive files, and coordinating the payment of invoices.
- Perform front desk receptionist duties by greeting customers in a professional manner and professionally administer all incoming calls.
- Handle confidential information with discretion and professionalism.
- Assist in organizing and coordinating company events and meetings.
- Prioritize and manage multiple tasks simultaneously in a fast-paced environment.
- Perform general office tasks such as filing, data entry, and office organization.
- Manage a variety of daily, monthly, and annual administrative responsibilities, encompassing tasks such as scholarship administration, reconciling accounts, providing support during audits, organizing co-worker celebrations, and facilitating the setup of employee workstations.
- Manage special projects for the President/CEO.
Qualifications:
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to work independently and collaboratively in a team environment.
- High level of discretion and confidentiality.
- Must have valid driver’s license with a driving record insurable by the company.
- Prefer 2+ years’ experience as an Administrative Assistant or similar position.
