Job description
Overview : The Front Desk Manager is the ‘face’ of our company and ensures that residents and visitors receive a heartwarming welcome. The manager also coordinates all front desk activities, including calls, and guests’ complaints
Job Responsibilities:
- Ensures all Front Desk staff are trained on all job duties and that they are showing superior customer service to all residents and visitors
- Hire, train and monitor progress of Front Desk staff.
- Coach Front Desk staff and issue disciplinary actions when needed.
- Operates switchboard and answers all incoming calls in a timely/professional manner
- Reports any unusual conditions or malfunctions of building to appropriate personnel
- Manages the emergency response system
- Greets visitors and ascertains the nature of their visit, directs visitors appropriately
- Respond to resident and family members questions and concerns in a timely/professional manner
- Various clerical duties as assigned
- Orders office supplies
- Updates the resident room chart daily, emails it daily to managers and COO
- Completes the Weekly Report every Monday, hung by time clock and emails managers
- Approves departments’ payroll report
- Distribute mail
- Maintains all logs related to front desk activities
- Monitors security cameras as needed
- Completes various assigned clerical projects
- Manages front desk staffing schedule and tracking/recording attendance of Front Desk staff per the attendance policy
- Covers desk as needed
- Other duties as assigned
Qualifications
- A minimum of 1 year experience as front desk or similar
- Strong Customer Service skills and ability to teach those skills
- Strong organizational and time management
- Excellent written and verbal communication skills
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
- Great multitasker
- Provide a positive, high level of energy, enthusiasm, empathy, and cheerfulness.
