Job description


The Events Specialist is responsible for working with events manager to conceptualize event themes, prepare and manage event project plans and timelines for Motion’s medium to large size events. Responsibilities include venue selection, agenda, event logistics, catering, staffing and securing entertainment. This role delivers phenomenal events that build business relationships, generate excitement around our organization and ensure the Motion brand is properly represented.

JOB DUTIES:
• Manages events calendar.
• Plans the scope of the events (e.g., time, location, program, attendees, cost) for the organization.
• Solicits bids from lodging, transportation, and event support services when they are not provided by the event host or sponsors (e.g., photographers) as needed.
• Ensures contracts are accurate and approved by Motion legal/management.
• Plans food and beverage service/entertainment.
• Coordinates with Creative Team for signage, invitations, and marketing collateral.
• Works closely with Exhibit Management to ensure all aspects of production meet expectations.
• Collaborates with attendees and specific Project Manager throughout the entire process.
• Reviews event billings and approves payments.
• Performs other duties as assigned.

EDUCATION & EXPERIENCE:
Typically requires a bachelor's degree and three (3) to five (5) years of experience or an equivalent combination.

KNOWLEDGE, SKILLS, ABILITIES:
• Strong time/project management skills
• Ability to see a project through from conception to delivery
• Advanced Excel skills
• Strong analytical problem-solving skills
• Excellent verbal and written communication required
• Must be able to multi-task and work well under pressure
• Meticulous attention to detail with a strong work ethic
• Must be willing to travel
