About This Role:
We are seeking a Facilities Specialist II that will be responsible for overseeing contracted service vendors, employee service amenities, and data management systems delivering exceptional services in a world class facility. This position will have limited supervision and report directly to the Senior Facility Manager.
Your Responsibilities Will Include:
- Oversees contracted service vendor account managers through contracted specifications and Boston Scientific’s expectations, ensuring all key performance indicators are met and provide improvement plans as needed to meet service excellence.
- Support site leadership in processing campus wide events, communication, and misc. information collection as needed.
- Run and help develop all department social media sites, oversee campus wide communication through e-mail, poster boards, communication boards, and any selected multimedia processes
- Process, track, and support department with all financial systems regarding purchase order creation/tracking, quote collection from projects, and create excel workbooks that track financials from both service vendors and project work for the department
- Support onsite administrative assistant to deliver general, financial, and data support duties for the entire Facility and EHS team
- Build quality into all aspects of their work by maintaining compliance to all Boston Scientific quality requirements
- Build quality into services by developing and support quality systems provided by all service vendors and metrics that show value to Boston Scientific.
- Develop, maintain, and deliver data driven stories through web-based systems like Qualtrics, Orange QC, CMS, and FM Systems.
Required Qualifications:
- High School Diploma or GED
- 5+ years of customer service experience retail or other high customer demand work environments
- 5 years facility work experience for work site of 500 employees or more
- 5 years supporting database designs as the administrative support data driven decision making and dashboard designs
- Knowledge of all Microsoft Suite programs and social media platforms such as Teams, SharePoint, Yammer, and general understanding of misc. social media programs
- Experience in excel spreadsheets to support financial/data driven processes
- Experience in PowerPoint building dynamic presentations with little input or feedback
- Excellent verbal and written communication and customer relations required
Preferred Qualifications:
- 5 years facility work experience for medical manufacturing facilities supporting: Office space, Lab space, Clean rooms, Warehousing and Receiving
- 5 years work experience with inspection systems and metric driven experience for work site of 1000 employees or more
- 2 years work experience in at least 3 any of the following service/amenity areas: food service, childcare service, banking services, housekeeping services, office services, painting, lighting, small tools work (odd jobs), storage/move services, landscape, irrigation, lawn care, snow removal, asphalt and cement work for large multi-building facilities with 1000 employees or more
- 2 years work experience in managing financial account receivable/account payable systems or processes
- 2 years work experience in managing communications and team culture for more than five direct reports
