Practice (Office) Manager – Mental Health Office

Location : Hybrid - Remote / Physical locations in Libertyville, Northbrook, Park Ridge & Skokie, IL

Compensation : Starting at $24/hour (may be negotiable based on experience)

Job Overview : Join us as a Practice (Office) Manager and play a pivotal role in optimizing our operations. This position is tailored for individuals who are detail-oriented, appreciate autonomy and are proactive in initiating improvements with minimal instruction. Starting as a part-time role (~25 hours/week), there’s potential for expanding responsibilities and hours based on performance and operational needs.

Key Responsibilities :

• Communication & Collaboration : Efficiently manage phone calls, emails, and coordinate networking and business meetings for the practice owner and staff members
• Operational Management : Utilize our project management system for task tracking and ensure organized documentation within our Google Drive
• Staff Support : Oversee the onboarding process, order business supplies and promotional materials, and manage staff recruiting efforts
• Operational Efficiency : Identify opportunities to reduce costs, increase revenue, and serve as a backup for payroll processes
• Marketing & Outreach : Coordinate marketing efforts, including uploading articles/blogs and connecting with potential/current referral sources
• Administrative Duties : Ensure timely renewal of licenses, insurances, and other essential company procedures

Qualifications :

• Minimum of 5 years of office management experience, preferably in healthcare or mental health
• Exceptional organizational, communication, and analytical skills with the ability to present solutions proactively
• Experience with payroll processing and insurance renewals.

Preferred Skills :

• Familiarity with healthcare billing and value-based compensation models.
• Knowledge of Electronic Medical Records (EMR)
• ADP, Google Drive/sheet, Principal
