Job description

Job Summary: We are seeking a friendly, organized, and professional Office Receptionist to join our team. The ideal candidate will be the first point of contact for our office, providing excellent customer service to clients, visitors, and employees. The Office Receptionist will manage the reception area, answer incoming calls, greet visitors, handle inquiries, and perform various administrative tasks to support the smooth operation of the office.

Responsibilities:

  1. Greet and welcome visitors with a positive attitude, providing excellent customer service.
  2. Answer and direct incoming phone calls in a professional manner.
  3. Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  4. Respond to inquiries and provide information to visitors, clients, and employees.
  5. Sort and distribute incoming mail and packages.
  6. Maintain office security by following procedures and monitoring visitor logbook.
  7. Assist with various administrative tasks such as filing, data entry, and photocopying.
  8. Coordinate with other departments to ensure smooth communication and workflow.
  9. Assist with special projects and tasks as assigned by management.

Requirements:

  1. High school diploma or equivalent.
  2. Excellent verbal and written communication skills.
  3. Professional demeanor with a positive attitude.
  4. Strong organizational and multitasking abilities.
  5. Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  6. Ability to remain calm under pressure and handle difficult situations with tact and diplomacy.
  7. Attention to detail and accuracy in all tasks.
  8. Ability to work independently as well as part of a team.
  9. Knowledge of office equipment such as multi-line phone systems, fax machines, and printers.
