We are seeking a highly organized and detail-oriented Office Manager to join our team at a small construction company. The Office Manager will play a crucial role in ensuring the smooth operation of our office and supporting various administrative functions. This position requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving.

Responsibilities:
- Manage day-to-day office operations, including answering phones, responding to emails, and handling correspondence.
- Coordinate administrative tasks such as scheduling meetings, booking appointments, and organizing travel arrangements for staff.
- Maintain office supplies inventory and place orders as needed to ensure adequate stock levels.
- Assist with payroll processing, invoicing, and accounts receivable/payable.
- Handle incoming and outgoing mail and packages, including distribution and shipping.
- Maintain and update filing systems, both physical and digital, ensuring the accuracy and accessibility of documents.
- Assist with HR tasks such as employee onboarding, maintaining personnel records, and coordinating employee events.
- Serve as the point of contact for office maintenance, IT support, and other service providers.
- Assist project managers with administrative tasks related to project documentation, subcontractor agreements, and permits.
- Support the management team with special projects and tasks as assigned.
Qualifications:
- Previous experience in office administration or management, preferably in the construction industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office management software.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and a high level of accuracy in all tasks.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion and confidentiality when handling sensitive information.
- Flexibility and adaptability to handle changing priorities and deadlines.
- Knowledge of basic accounting principles and experience with QuickBooks or similar accounting software is a plus.
- A positive attitude and willingness to take on new challenges and responsibilities.
