About the Job Job Summary The Dance Program Office
Manager is located in the Barker Center on the Twin Cities West Bank Campus and is the main point of contact for the Dance Program. This
position works directly with the Director of the Dance Program, the Director of Undergraduate Studies, the Barker Center Technical Director,
and the Administrative Manager for the Department of Theatre Arts & Dance. This position coordinates office activities and operations
providing administrative, programmatic, and financial support for the dance program.
Estimated Salary Range - $45,427 -
$55,000
Job Duties Financial Preparer (60%)
- Process reimbursements and
reconcile purchases
- Enter travel documents, requisitions, U Market orders
- Supplier/vendor setup and
maintenance
- Maintain and update administrative forms
- Create contracts and agreements
- Run ad hoc
budget reports
- Assist dance program faculty and staff with budgeting and reporting
- Explain financial forms,
processes, and policies to faculty and staff
- Assist in obtaining procurement and travel cards (trainings and forms), provide
training to faculty and staff on policies and procedures
- Assist Administrative Manager in budgeting, human resources, and
reporting.
- Create annual NASD HEADS reporting requirements for accreditation
- Other duties as
assigned
Office Manager (30%)- Serve as the first point of contact for Barker Center
program, answering phone, email, and in-person inquiries from instructors, students and visitors, provide tours of the building for
visitors
- Provide general office support, including supplies, parking vouchers, mail, computer assistance, copiers, textbook
orders, computer orders, program directory, contacts and email groups, create program newsletters, ensure public spaces are clean and
orderly, maintain storage and office spaces.
- Coordinate program events and assist with department-wide
events.
- Assist with travel arrangements for visitors
- Assist with onboarding and offboarding faculty and
staff
- Work with Barker Technical Coordinator in facilitating custodial care, maintenance, repairs, capital projects, asset
inventory, and building security
- Work closely with Director of Dance in maintaining calendars and facilitating communication
within Dance Program
- Attend staff and program meetings, record and share meeting notes
- Assist with
auditions
- Assist in student recruitment efforts
- Serve as back up for the Theatre Programs Office
Manager
- Other duties as assigned
Course Scheduler (10%)- Work closely with
the Director of Undergraduate Studies and Program Director to schedule courses using University systems, assist in monitoring course
enrollments, collect and maintain course-related documents, generate class lists, maintain wait lists, update course descriptions, issue
permission numbers
- Other duties as assigned
Qualifications Required
Qualifications Preferred Qualifications - Strong verbal, written, and interpersonal communication
skills
- Demonstrated experience communicating with and providing service to faculty, students, and visitors from diverse
backgrounds
- Experience coordinating several projects simultaneously
- Experience multitasking and prioritizing
workload while maintaining attention to detail
- Effective organizational, time management, and problem solving
skills
- Ability to draft correspondence, memoranda, newsletters, manuals etc.
- Experience with administrative
software: UMReports, PeopleSoft, course scheduling, space scheduling or similar
- Demonstrated initiative and willingness to
provide outstanding service
- Attention to detail, positive attitude, and proactive nature
- Familiarity with Dance
and/or Performing Arts community
- Familiarity with accreditation processes
- Valid Class C Driver's
License
- Professional human resources experience
- Professional experience working in higher
education
- Must be able to work independently and be a self-starter
- Must be able to work with interruptions and
distractions in a front office setting
