Position summary
Berkeley Repertory Theatre (Berkeley Rep) has grown from a storefront stage to an international leader in innovative theatre. Over 5.5 million people have enjoyed nearly 500 shows at Berkeley Rep, which have gone on to win six Tony Awards, seven Obie Awards, nine Drama Desk Awards, one Grammy Award, one Pulitzer Prize, and many other honors.
Berkeley Rep is seeking a general management associate to support the general manager in managing the production of Berkeley Rep’s season — operationally, administratively, and financially. The general management associate works closely with the artistic department to support The Ground Floor’s workshops, readings, and Summer Lab and the In Dialogue community engagement programs.
The general management associate serves as a collaborator with the artistic and production teams, negotiating and preparing contracts for artists and creatives, tracking production and program budgeting, and acting as a liaison for all creative teams and artist unions. Additionally, the general management associate partners with individuals of all cultural backgrounds to anticipate and respond to day-to-day producing needs.
Essential duties and responsibilities
Production and general management department support
- Draft, negotiate, administer, and track payments for a variety of contracts for actors, musicians, creative personnel, consultants, and associates.
- Maintain Berkeley Rep artist and licensing contract templates.
- Ensure that all contract terms are reflected in production budget templates.
- Support the general manager with the management and maintenance of all production financial reports, including updating budgets, initiating close-outs, and reconciliations of budgets, and preparing royalty reports.
- Proofread program and marketing materials to ensure they align with contractual obligations.
- Support the general manager, director of human resources and diversity, and finance departments with employment practice compliance as needed, including managing, and maintaining employment paperwork and training certifications.
- Administer contracts for artistic readings and workshops throughout the year.
- Maintain familiarity with LORT: SDC/AEA/USA union rules and contract interpretation.
- Manage music rights clearances.
- Process immigration paperwork for visa petitions.
- Draft, negotiate, administer, and track payments for cast album agreements.
- Maintain general management files.
- Actively participate in workshops and trainings, including harassment prevention, bystander intervention, and other antiracism, equity, diversity, inclusion, and access initiatives.
- Support the general manager as needed and manage special projects as requested.
The Ground Floor
- As the seasonal general manager for The Ground Floor Summer Lab (Ground Floor), collaborate with and support the artistic director and artistic staff in Ground Floor planning, including scheduling, budgeting, and staffing.
- Manage the Ground Floor budget, including creation of individual project budgets and reconciliation of program expenditures.
- Contract all Ground Floor artists.
- Hire, contract, and supervise Ground Floor support staff (including company manager, production coordinator, catering and production assistant, and ambassadors).
- Book and contract the Ground Floor caterer.
- In coordination with the Ground Floor production coordinator, manage space and vehicle reservations.
- In coordination with the Ground Floor company manager, manage artist travel and event planning.
In Dialogue
- Collaborate with and support the associate artistic director and artistic staff in In Dialogue planning, including scheduling, budgeting, and staffing.
- Manage the In Dialogue budget, including creation of individual project budgets and reconciliation of program expenditures.
- Contract all In Dialogue participants.
- In coordination with production management, manage space reservations.
- In coordination with the company manager, manage artist travel and hospitality.
Company management
- Support the company manager in artist contracting, scheduling, payroll, travel, and housing.
- Ensure the greatest level of care and cultural competency in the overall artist experience.
- Serve as support and back-up for company management on-call hours.
- Other duties as assigned by the general manager.
Qualifications and skills
- Demonstrated experience successfully negotiating and executing contracts.
- Proficiency in budget development and management with a track record of meeting financial goals.
- Familiarity and comfort with artistic union relations and collective bargaining agreements.
- Outstanding written and verbal communication skills, with a high degree of emotional intelligence and cultural competency.
- Demonstrated interest and commitment to equity, diversity, inclusion, access, and antiracism.
- Proactive and creative problem-solving with an ability to be both strategic and tactical when implementing solutions.
- Demonstrated ability and success in collaborating with internal and external teams, sometimes with competing priorities.
- Preference for a deadline-driven, detail-oriented, fast-paced environment.
- Proven ability to prioritize and manage projects and deadlines effectively.
- Demonstrate sound judgment and the ability to handle confidential information with sensitivity.
- Experience with Microsoft products, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
