Role Overview

As a Program Administrative Assistant, you will play a vital role in supporting our various programs, including American with Disabilities Act (ADA) Eligibility Certification, Travel Training, Wheelchair Securement, and Community Outreach. Your responsibilities will include serving as the primary point of contact for the ADA Eligibility Certification program, providing administrative support to the team, and assisting with other projects as needed. Fluency in Spanish is required for this role.

Key Responsibilities

Process and complete program applications
Maintain and coordinate calendars for management and staff
Manage filing systems and perform data entry
Compile and send communications such as letters and forms
Assist with maintaining promotional materials
Collect and analyze statistical data
Prepare and submit reports and project audits
Respond to inquiries via phone, email, and other channels
Provide support to field staff as required
Perform other program-related duties as assigned

ADA Certification Duties

Process ADA applications and handle communications
Prepare and maintain required reporting and auditing
Assist with scheduling interviews as necessary
Fulfill other ADA-related responsibilities as assigned

Requirements

High school diploma or GED (Associate degree preferred)
1-2 years of customer service experience, including handling inbound/outbound calls
Relevant experience working with seniors/persons with disabilities preferred
Fluency in Spanish
Proficiency in MS Office and database entry
Strong communication skills and ability to meet deadlines
Transportation-related experience is advantageous
Ability to read and interpret documents and effectively communicate with stakeholders
Flexibility to work in both office and remote settings
Valid CA driver's license, insurance, and reliable transportation (may require travel to Los Angeles and Orange Counties)
Local candidates to the Ventura County area preferred
