NOTICE OF POSITION OPENING
POSITION: Administrative Assistant
DEPARTMENT: Center for Counseling & Psychological Services (CCPS)
DIRECTLY RESPONSIBLE TO: Manager of Office Support Services, and the Outpatient Administrative Coordinator
SUMMARY OF POSITION: This position is responsible for providing a broad range of administrative support services to staff of the Center for Counseling and Psychological Services and for supporting administrative functions. The hours for this position include some evening hours.
DUTIES AND RESPONSIBILITIES:
- Provide a wide variety of administrative support services to staff affiliated with CCPS.
- Respond to all requests for records from Disability Determination and other outside records requests. Notify CCPS clinicians of any requests for information from outside agencies, attorneys, etc., before photocopying and releasing.
- Check Medicaid eligibility and client balances for all scheduled clients.
- Following up with clients via phone.
- Answer telephones and announce client and visitor arrivals to staff. Provide triage to clients, both over the telephone and in-person, throughout the day, e.g., make decisions about referrals to Emergency Services staff, Triage Nurse, Case Manager in accordance with the agency’s system.
- Clinical records scanning and filing for the Children’s Outpatient Program.
- Initiate electronic client profiles for new clients, close and transfer records for CCPS, and organize archival storage after one year
- Obtain updated (real time) information from clients, and update in appropriate databases.
- Schedule psychiatric appointments and all Initial Appointments for both Adult and Children Clinical Staff.
- Scheduling Intake Interview appointments and creating a client chart.
- Provide coverage at other sites as needed.
- Electronic Medical Record Support.
- Close building in accordance with established procedures.
- Serve on agency committees; provide administrative support as requested.
- Other duties as assigned.
QUALIFICATIONS: EDUCATION: Minimum of high school diploma required; Associate degree preferred.
EXPERIENCE/ABILITIES: Minimum of two years experience in a fast-paced administrative office, preferably a medical setting. The ability to multitask is essential. Experience with Electronic Medical Records a plus. Excellent interpersonal skills, excellent human relation skills, including outstanding telephone etiquette and face-to-face communication skills; high level organizational abilities; excellent knowledge of Microsoft Word, Excel and Outlook and excellent all-around computer capabilities; ability to deal effectively with crisis situations.
