We have an immediate opportunity for an Executive Assistant. This position is an important member of the leadership team, reporting to the CFO. It is responsible for providing executive support for the CEO, CFO, CPO and WC General Manager. Duties include: Manage executive’s calendars, optimizing use of their time and opportunities. Make domestic and international travel arrangements interfacing with support organizations. Plan meetings and events, including locations, vendor identification/selection, and oversight of the event. Create, edit and distribute presentations, reports and other documents. Attend on- and off-site meetings. Take, prepare and distribute notes and maintain all meeting records. Track and ensure meeting follow-ups are completed. Participate in CFO one-on-one meetings. Answer phones, manage voicemails and process executive mail. Maintain executive files. Manage office supplies. Route and allocate invoices. Coordinate and oversee Company merchandise. Greet visitors on behalf of the executive and Coordinate weekly WC reports. Identify any opportunities for improved efficiencies utilizing new technologies and best practices and implement change.
Qualifications:
A college or technical degree is preferred.
This position requires strong interpersonal, critical thinking and planning/organizing skills and the demonstrated ability to prioritize and complete tasks, delivering desired outcomes on time.
An ease of switching gears and the ability to stay on track and manage conflicting priorities is also required, along with the ability to adapt to change and establish processes that will achieve outcomes.
The person we seek will have a demonstrated history of successfully supporting senior level executives in a fast-paced environment.
Executive assistant experience in a manufacturing environment is preferable.
Some travel is required.
