Job description

SUMMARY:
Under direct supervision of the Department Supervisor, the incumbent will perform a variety of enrollment and administrative support duties directly related to Student Enrollment Services and Admissions and Records. An accompanying range of technical skills, office skills, procedures and knowledge of organizational policies and procedures is required. Assists and directs students and visitors, and helps resolve admissions problems and inquiries, both internal and external to the office. Perform audits of records, and scanning of all A&R documents. Participates in all outreach/recruitment, graduation events and assists various departments and satellite campuses.
MINIMUM EDUCATIONAL AND WORK REQUIREMENTS (MINIMUM QUALIFICATIONS):
High School Diploma/GED Equivalency and four (4) years directly related experience, or one-year college and three (3) years directly related experience or Associates Degree and two (2) years directly related experience.
PREFERRED:
Experience with Ellucian Colleague software
CERTIFICATION OR LICENSES:
Possess, or be able to obtain, a Valid Texas Driver License
The incumbent will:
- Provide prompt, friendly, exemplary and efficient customer service to students, faculty, staff, and the public.
- Create, complete and update student records, including testing, transcripts, credit articulation, holds and other necessary information, as well as scan all relevant documents into software system.
- Respond to all inquiries received via a variety of communication methods, and direct students to appropriate department as needed.
- Process document requests from students, faculty, staff, other institutions and other third parties.
- Create photo IDs and badges for students and employees.
- Review, assess, enter and process all applications and reapplications, and issue welcome and acceptance letters to students.
- Assist other departments and campus locations with questions and processes related to admissions, records, registration, and graduation.
- Audit student files per state regulations and retention schedule.
- Participate in all Graduation ceremonies at all locations, to include working evenings and weekends.
- Enter and end staff/dependent tuition waivers.
- Assist with both beginning and end-of-term duties to complete all student processes.
- Train and cross-train staff and student workers.
- Maintain student confidentiality in accordance with the Family Educational Rights and Privacy Act (FERPA).
- Update and maintain Colleague system regarding both credit and noncredit coursework.
- Process graduation applications and complete graduation processes.
- Assist in developing and implementing enrollment processes and procedures.
- Assist students in assessing academic skills and interpret student placement testing.
- Perform general office tasks, including but not limited to: receiving, sorting and distributing the mail; filing; scanning documents; and ordering supplies.
- Participate in Open House events, Recruitment events, Financial Aid goal events, campus tours, transfer fairs, and Dual Credit recruitment events on main and satellite campuses.
- Represent the institution to prospective students, staff and the general public with the highest degree of professionalism through an array of outreach programs and campus activities, transfer fairs, and other events.
- Assist Testing department in proctoring/facilitating testing events both on and off campus.
- Assist Retention department with Zero Week Events.
- Participate in professional development opportunities.
- Assist with registering health science students as needed.
- Perform other duties as assigned.
