Summary: The Administrative Assistant position is responsible for the day-to-day tasks relating to the outreach, sales strategy, and data management supporting the Atlantic Corporate Health Account Management and Sales team. This position reports into the Employer-based Services Manager of Atlantic Corporate Health, Atlantic Health System. General responsibilities include internal project work, outreach and sales strategy operations along with the associated data management, and overall support of the growth of Corporate Health client account activities. Essential Functions:
A. Support and administrative assistant responsibilities for the the account management team:
- Assist team in new client outreach and department marketing, which may include attending events as the ACH representative
- Assists with RFP/RFQ/RFI search, discrimination, and data management
- Cultivate new corporate client leads, set meetings, maintain contacts, answer phones, create presentations
- Lead team member working to obtain leadership signatures for contracts and renewals
- Provide Account Managers prospecting research
- Research and provide team with calendar of outreach events
- Serve as a client advisor regarding employer-based health and wellness
- Work to build a culture of collaboration and accountability within market among and between company associates, client associates, collaborating providers, and local health providers
B. Data management, monitoring, reporting client outreach activity:
- Assist and organize leads and prospects data
- Assist in the creation of promotional materials including sending requests to Marketing
- Assist with marketing software and contact data maintenance and utilization (i.e. ConstantContact)
- Collaborate on reporting using data maintained throughout the year and assist in the creation of the department’s executive report
- Create detailed reports on campaign status and results
- Develop project plans, as appropriate
- Input and track account data using department CRM (Salesforce) and provide internal team support and training re. CRM
- Maintain data tools/spreadsheets/reports related to the business and provide monthly reporting
- Report outcomes at regular staff meetings, 1:1, huddles, and department meetings
- Track lead conversion rates and track/monitor the outcome and yields of outreach
Participates in ACH office supportive functions such as:
- Assist with check requests, reimbursements, and the like
- Craft and maintain end-user surveys for event scheduling
- Homebase representative for urgent event needs
- Lead team member responsible for the drop off and pick up for events, clinics, and screenings
- Participate and provide administrative support for staff meetings, operations management, and team meetings and functions
- Perform department projects and other related duties as assigned (i.e. mailings and/or telephonic marketing campaigns)
- Provide front desk, registration, or event admin. hours as needed (e.g. EPIC, SurveyMonkey, Microsoft knowledge integral; weekend and evenings rare, but as needed)
- Research and assemble client overviews for leadership
- Research sales/marketing tools/software/vendors as needed
- Share information with colleagues, stakeholders, and intra-AHS service lines regarding specialty projects and communicate insights and updates to management, as appropriate
- All other duties as assigned
Education— Requires a minimum of a bachelor’s degree in the field of Health Education/Promotion, Health Care Management, Marketing, Public Health, or related field
Qualification—
- Can lift up to 50 lbs.
- Holds a valid driver’s license and has means of transportation, required
- Exhibits a professional manner in dealing with others and works to maintain constructive working relationships internally and externally
- Exhibits strong communication skills with a problem-solving attitude
- Possesses competency with Microsoft Office suite of programs, required
- Possesses skills and knowledge of Salesforce CRM, SurveyMonkey, EPIC, preferred
- Thrives in a fast-based, deadline driven environment and is detail-oriented, exceptionally organized, can manage multiple tasks and projects
Experience—
- 2 or more years of office support preferably focused on supporting a sales/accounts team or related experience, required
- 2 or more years of employee health and wellness programming and implementation experience, preferred
