IT Tech Associate-UAFR (Hybrid)

Job Summary
This position reports to and functions under the general administrative supervision of the Senior Director of University Property Accounting and Reporting (UPAR) which is a part of University Accounting and Financial Reporting (UAFR) within the Office of the Vice President, Chief Financial Officer, and Comptroller. The IT Technical Associate supports the Senior Director of Property Accounting in the application of property accounting requirements related to University equipment processes, procedures, and systems. This position will provide oversight for the planning, development, and management of University equipment improvement efforts in information technology and business processes which benefit the University community. In addition, this position will provide analysis, consultation and solutions on various systems and systemic/operational issues. The IT Technical Associate will also assist University Property Accounting in providing guidance and assistance to university units on efficiently and effectively utilizing University systems; assist in analysis of reported system issues; file support tickets for needed improvements; and test and retest system functionality in preparation for system go-lives. This position may be eligible for a hybrid or remote work arrangement depending on unit operational needs. Training, advising or consulting for several hours might be required, but the work is mostly sedentary. Work environment is predictable but can range from calm to stressful. Ability to work under pressure is required to perform a variety of responsibilities and ensure daily operational needs are met.
1. Planning and development on UAFR's improvements efforts in property accounting systems including information technology solutions to benefit the University community at all locations to ensure proper transaction processing are completed by the three universities and the System units. This includes oversight of day-to-day activities of existing UPAR projects, including the development and delivery of new or updated content or system. Assisting with the creation, coordination, and delivery of new UPAR projects to ensure UPAR customers receive a consistent high-quality experience from UPAR managed processes through:
Coordinating business analysis for needed changes to systems/procedures with UPAR, colleagues within university units, and Administrative Information Technology Services (AITS) as needed.
Coordinating business requirements and deliverables on ITPC projects and system work requests for system bugs and enhancements with AITS.
Coordinating testing of development/coding changes as needed to support ITPC projects and departmental system work requests collaborating with AITS.
Coordinating implementation of system upgrades and fixes with UPAR, University-wide unit system users, and AITS.

2. Departmental Systems and application monitoring: The IT Technical Associate will help create an initial library of all departmental MS Access databases used for departmental reporting and on-going operations support. A controlled reporting library will be created for check-out and check-in for updates to queries and methodologies used for the reporting, and the new library will function as a repository as back-up for all departmental reporting.

3. Incident and problem documentation: Logs all reported system problems for FABweb, SWIS, and the Biennial Inventory applications. Collaborate with UPAR management and staff to analyze the reported problem for handling and triage. Create support tickets with AITS on system problems requiring AITS fixes; Follow up on tickets; Test system fixes in 'test environments' prior to production implementation.

4. Communication: Keeps the Senior Director and departmental end users informed of trends, significant problems, unexpected delays, and anything new in the environment that will impact systems performance and customers; keeps customers informed of wide-reaching problems, scheduled downtime, etc.; keeps customer informed of progress on problems that cannot be resolved on first call. Communicate and coordinate all software, hardware, system, and operational problems.

5. Customer support: Within a year of hire, the IT Technical Associate will be providing direct customer support via phone, email, and other support channels. Efficiently troubleshoots to understand and isolate the customer's root issue; utilizes the University KnowledgeBase and departmental documentation as primary resource for finding solutions; thinks creatively to troubleshoot and solve unfamiliar issues collaborating with the Senior Director and other departmental end users.

6. Assist the Senior Director of UPAR with administration of various information technology components of the Equipment Management office. This includes use of 'xferprod' feeders for departmental activities and assisting with documenting or updating technical processing standards for internal systems.

7. Assist the Senior Director of UPAR and collaborate with the Assistant Directors of UPAR with project management on key departmental projects including an upcoming review of 'Fabricated' equipment and 'In-Process' Accounting. The IT Technical Associate will bring business process analysis skills to the team of subject matter experts to help define project deliverables, evaluate options, and recommend solutions.

8. Assist UPAR with their year-end closing procedures as needed. In coordination with the University System year-end close process, review transactions, work with units as directed to assist in proper handling of year end activity. Assist with special projects as assigned by the Senior Director of UPAR. Perform other assigned duties which would be appropriate for an IT Technical Associate as assigned by UAFR management.

9.Serve on System Office committees/teams as a representative of University Accounting and Financial Reporting as needed. Represent UPAR in meeting with constituents, as needed, including staff from Sponsored Program Administration offices, AITS, and other University Units.

10. Provide guidance and assistance to university units on efficiently and effectively utilizing the property accounting and reporting systems.

Minimum Qualifications

Per SUCSS Class Specification High school diploma or equivalent. Any one or any combination totaling two (2) years (24 months) from the following categories: College coursework which includes Information Technology (IT), IT Management, Programming, IT systems, or a closely related discipline, as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Bachelor's Degree (120 semester hours) equals three (3) years (36 months) Work experience in IT-related functions, such as hardware/software support, programming, network design, network engineering, IT systems integration, or closely related fields.

Knowledge, Skills and Abilities

1. Extensive customer service experience required. Ability to interact with customers in a professional and courteous manner via telephone and email. Respectful of customers and manages difficult or emotional customer situations appropriately; responds and follows up promptly to needs and requests for service and assistance.

2. Ability to identify and resolve problems quickly and effectively; conveys reliable and accurate information so it is easily understood and uses appropriate communication mechanism(s) to disseminate information; possess sensitivity to involvement of the appropriate decision-makers, as needed, and knows when to escalate; implements solutions, not fixes.

3. Excellent writing and communication skills. Able to document technical solutions and create clear, high quality knowledge documents for public use by customers and internal support staff.

4. Speaks clearly and persuasively in positive or negative situations; listens and gets clarification of requests; responds well to questions; ability to interact clearly with people over the telephone, often in stressful situations.

5. Must be flexible in work schedules while maintaining punctual, regular, and consistent attendance. Must be available to work limited overtime as required. Example would be system testing after normal business hours after a system upgrade.

6. Excellent teamwork skills and a great team player. Follows team expectations and guiding principles and holds teammates accountable for doing the same.

7. Able to work independently; willing and able to make decisions in a timely manner in difficult or ambiguous situations.

8. Ability to take initiative and make improvements; anticipate customer needs; look for ways to make things better for the customer; and attention to detail.

9. Understands concepts of desktop and client software (browsers, operating systems, etc).

13. Ability to quickly learn and become self-sufficient on new technical skills.

Appointment Information

This is a 100% full-time Civil Service 5031 - Information Technology Technical Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 2/12/2024. The minimum salary is $52,000, and is commensurate with experience.
