The OHSU Knight Cancer Institute, known as one of the pioneers in personalized cancer medicine, is an international leader in research and cancer treatment. Driven by its mission to end cancer as we know it, the institute is building upon its expertise in targeted treatments to advance the early detection of cancer when the disease is most treatable. This position provides administrative support to research faculty in the Knight Cancer Institute. This includes calendaring, meeting coordination, travel arrangements, processing Pcards and reimbursements, document preparation, assisting with onboarding of new staff, and other duties as assigned. This position also acts as an ITC2 for the Knight Cancer Institute, serving as software administrator, as well as AV coordinator for the Knight Cancer Research Building¿s collaborative meeting spaces. This is an on-site position, the work location is the Knight Cancer Research Building in OHSU¿s South Waterfront campus.

Administrative Support - Provides administrative support for faculty research positions in the OHSU Knight Cancer Institute, which includes calendaring and scheduling of meetings, preparing agendas and logistics for meetings as needed, coordinating travel plans and meeting dossiers, reconciling Pcards, submitting reimbursements, CV updating, and assisting with onboarding of new staff. Responsible for coordination of various special events, projects, and programs on an as-needed basis, and other duties as assigned.
Administrative Coordination – Serves as an ITC2 and AV coordinator for the Knight Cancer Research Building’s collaborative meeting spaces. Provides real-time, hands-on instruction and troubleshooting in meeting spaces. Develops technical policies and procedures, systems and forms necessary to complete work, disseminates policies and information to OHSU staff and others. Coordinates and implements administrative processes for the Knight, analyzes data and uses judgment in making independent decisions regarding the coordination of their work. Prioritizes KCRB-wide responsibilities; performs assigned lead work duties.
Must have proficiency in MS Office (Word, Excel, Outlook, and PowerPoint)
Demonstrated intermediate level skills with Adobe Acrobat
Previous experience managing multiple complex calendars
Demonstrated ability to coordinate travel arrangements and process travel reimbursements
Expense reconciliation experience
Event coordination, catering, lectures, and meeting/greeting visitors, affiliates, and high-level participants
Demonstrated skill at taking meeting minutes and composing, editing, proofing, and copying written materials
Ability to type 55 WPM
Demonstrated previous experience in providing technical support and troubleshooting office equipment (e.g. copier, printer)
Experience ordering and maintaining office inventory
Ability to prioritize multiple tasks at one time, work under pressure, and meet deadlines
Excellent judgment; ability to fit specific task requests into a broader context and anticipate needs not specifically identified
Advanced organizational skills and ability to flex workload to adapt to changing priorities and organizational needs
Must have excellent verbal and written communication
Must have demonstrated excellent customer service skills electronically, and in person
Ability to work independently and as part of a team while being collaborative in resolving problems
Ability to use tact and diplomacy to maintain effective working relationships with a wide range of staff and external audiences
Discretion and maintenance of confidentiality at all times
Demonstrable record of reliable attendance, punctuality and proven successful performance at past and present employers
At least one-year experience working in an academic setting and/or providing administrative support for faculty or upper level staff
Experience supporting academic research faculty and lab personnel
Understanding of basic scientific research lab functions
Experience ordering and maintaining software programs
Experience supporting advanced AV equipment in tech-enabled meeting spaces
Familiarity with Oracle and iExpense reconciliations
