Registrar Supervisor Job Summary

The roles of the School of Medicine (SOM) Registrar Supervisor is to provide primary leadership, management, planning, and coordination of the Academic Records Office. This position works under minimal direction from the Director of Student and Administrative Services, and in consultation with the Office of the Office of Medical Education (OME) Deans. The SOM Registrar is expected to identify, clarify, resolve, and enforce policy decisions related to modifying systems, services, and deadlines. This position has direct supervision of four career staff members.
This position creates and maintains collaborative working relationships with the UCD Administrative personnel, along with OME administrative personnel, academic faculty, staff, students, parents and alumni to support UCD and OME programs and policies as established by federal, state UC system, campus, and Academic Senate entities; acts as a central communication resource for academic and policy information related to student records management; and ensures the effective and efficient administration of the unit.

- Supervisory and/or leadership experience to select, train, motivate, recognize, supervise, evaluate the performance of staff and ensure operational success
- Experienced understanding of student administrative services, including registration and enrollment systems, including access and release of information and security of confidential information.
- Advanced working knowledge of federal and state laws, policies, regulations, including the Family Educational Rights and Privacy Act of 1974 (FERPA), and University policies pertaining to student records.
- Experience with Registar office/Student Records systems: ID card systems; grading, transcripts, and diploma production; student academic records management; electronic document management systems; verification of enrollment; residency (for tuition purposes); admission/readmission processes; graduation and commencement processes; student fees, fee assessment and refunds; class scheduling and enrollment planning; and information/communication services and publications.
- Experience analyzing procedures to make improvements for business performance enhancement.
- Advanced written and verbal communication skills.
- Demonstrated knowledge of or ability to use a variety of systems such as Microsoft Word, Excel, E-Mail Systems, Internet, especially the BANNER student information system.
Preferred Qualifications - Experience identifying linkages between customer service, operational requirements, and information management systems to determine when and how technological expertise should be developed or enhanced.
- Evidenced management style that emphasizes teamwork, participations, partnership and collaboration along with the demonstrated ability to mentor, coach, and hold direct reports accountable for work methods and products that add value to the organization.
- Skills and ability to read, understand, interpret, communicate, and execute applicable School of Medicine policies, procedures, and guidelines.
Department Description The offices and units within Medical Education are dedictated to the support and advancement of the teaching mission within UC Davis Health. The primary goal is to create a supportive and stimulating learning environment that nurtures the requisite and enuring attitudes skills, and knowledge required of excellent phyisicians.
