Job description
SUMMARY:
Coordinator, Artist Management partners with Production Management, Technology, HR, Facilities, and Artistic Talent to foster a working environment conducive to the creative process for both SPA Features and Television. They possess an administrative acumen, assisting and reporting to the Director of Artist Management with requests relating to artistic capabilities, production needs, workflow management, and other miscellaneous requests.

Responsibilities:
- Supports the Artist Management department in all aspects of production crewing and scheduling for both Features and TV including understanding and implementing and translating each union and its separate regulations regarding union titles, work schedules and minimums as related to crewing.
- Assists Artist Manager with artist transitions for both Features and Series, ensuring smooth and timely information flow to the artists.
- Surfaces allocation conflicts to Artist Manager when resource or time constraints compromise production schedules.
- Partners with Recruitment to support the day-to-day experience of the SPA Intern and Trainee programs.
- Organizes and conducts tours of Animation Studios as needed.
- Lead for new employee onboarding, including creation of Sony ID, obtaining badge, and conducting new hire orientation/campus tour for artists, production staff, SPA A1 hires and editors.
- Maintains Employee Database and Grouping Database, ensuring hires are added and terminations are processed.
- Partners with SPA Tech by Submitting new hire and last day tickets; partners with operations and technology to ensure the first day set up is complete for all new hires, and closes all accounts for any exiting employees and maintains and manages all SPA and SPE employee account maintenance for SPA population including Service Now extensions and troubleshooting.
- Maintains updated portfolio links for in-house talent and partners with Artist Manager to track and report production feed back to Artist Manager.
- Supports Artist Manager in UKG / Time card management, entry, reporting, and troubleshooting for SPA Feature, TV, Production and Editorial departments.
- Intake of everyday workplace requests, escalating issues to respective partners in Facilities, Operations, HR, and Technology as needed.
- Organizes the shared drive for the Artist Management team.
- Project management of ongoing team projects with responsibilities, deadlines, next steps and follow-ups.
Qualifications:
- Excellent written & oral communication skills.
- Mac proficient with strong digital literacy (Microsoft Word, Excel, PowerPoint, Keynote & Photoshop).
- Meticulous with outstanding organizational skills.
- Ability to multitask and prioritize, ensuring all assignments are completed in an accurate and timely manner.
- Deadline driven.
- Must be flexible with the ability to work in an environment where needs and priorities are subject to multiple revisions.
- Must be a self-starter with a team-player attitude.
- 1 to 2 years of experience working in Production, preferably in an Animation environment or related field ideal (internships included).
- Bachelor’s degree required.
The anticipated base salary for this position is $24.00/hour to $26.00/hour. This role qualifies for benefits pursuant to the collective bargaining agreement. The actual salary offered will depend on a variety of factors.
