Temporary Administrative Assistant
Duration: April 8, 2024 - July 31, 2024
Hours: 8:30am - 4:30pm
Salary: $17/hr
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provides administrative and receptionist support for the Department.
Maintains filing systems for student and program files.
Ensures timely distribution of materials for constituents as required.
Greets visitors and provides them with appropriate information.
Answers telephone calls and provides pertinent information.
Receives, opens, and distributes mail to IBCS office and responds to simple correspondence as appropriate.
Provides support for IBCS Summer Session during Staff and faculty arrival on campus, faculty/student Orientation, Program Registration, Opening Liturgy, Commencement, and Baccalaureate.
Receives and reports communications received from departments, faculty, staff, students, or others.
Shreds old documents and files as requested.
Assist with the organization of the office vacated by the past Associate Director under the supervision of the current Associate Director.
KNOWLEDGE, SKILLS AND ABILITIES:
Baccalaureate degree or equivalent combination of training and education is required.
2 years of professional office experience preferably in an academic environment.
Intermediate level proficiency in Microsoft Word, Excel, PowerPoint, and database.
Must have the ability to greet people professionally and courteously in person and on the telephone.
Requires excellent verbal and communications skills, ability to assist faculty, staff, students, and guests with basic requests for information.
Ability to prioritize work and manage multiple tasks.
Must be able to perform duties and responsibilities with minimal supervision and during the absence of Program Specialist.
Must be able to meet departmental and university deadlines while performing duties and responsibilities.
Ability to maintain confidentiality.
PHYSICAL REQUIREMENTS:
Employee's work is primarily performed while seated at a desk or working with files in a cabinet.
S/he must have dexterity to use a computer keyboard and lift boxes or paper weighing less than ten pounds.
