About the Role:
The World Trade Center (WTC) Campus is an internationally recognized
16-acre mixed use complex that includes transportation, retail, commercial office, museum/institutional space, and public space.
The WTC Special Events Coordination Manager acts as the client’s representative with various stakeholders and assists in obtaining approvals for special events at the WTC. Additionally, the Special Events Coordination Manager serves a key function in the notification, communication, coordination, and production of the various special events at the WTC.
What You’ll Do:
- Work with client to enhance and enforce site wide special event protocols that can be applied consistently for all stakeholders and tenants.
- Assist stakeholders/tenants in the special event application process to obtain necessary permits and approvals from government agencies on site.
- Responsible for: pre-event planning and review, pre-event communications, event load-in/set-up oversight, event oversight (as needed) and event breakdown/load-out oversight.
- Support the client in digital media and marketing n initiatives as it relates to special events.
- Regularly coordinate with all necessary departments and agencies at the WTC to keep them informed regarding upcoming events.
- Manage coordination efforts with counterparts at the client and stakeholder entities to obtain information on all upcoming events via meetings, calls and other in-person activities.
- Maintain and update site-wide special events calendar and tracking spreadsheet of upcoming events.
- Provide timely updates to CBRE management and the Customer Experience Program Manager on progress with assigned work tasks, upcoming events and projects.
- Coordinate any ancillary support services to be provided by the Site-wide Property Management Team and/or its consultants/contractors before, during, or after events or in conjunction with any MWA approvals.
- Oversee the permitting and notification process for all film/photo requests from stakeholders, tenants and third parties.
- Respond to customer, client, and public inquiries via the client’s customer relationship management tool (Salesforce) in a timely manner by providing requested information around special events, film & photo shoots and licensing requests.
- Assist in the Minor Works Application (MWA) submission and approval process, in coordination with the tenant’s modifications as per the Port Authority’s Tenant Construction Alteration Process (TCAP).
- Track financials as it relates to permit fees, support service rates and all associated costs with special events and collection of filing fee of MWAs.
- Proactively develop and implement new creative concepts, ideas and execution for programming opportunities to activate the WTC Campus.
