Position reports to : Executive Director of Finance & Controller (dotted line to Director for Workday Solutions)

Position Summary:

The fixed-term Change Management and Testing Lead plays a critical role in ensuring the successful implementation and adoption of Workday Finance. The Change Management and Testing Lead will report directly to the Executive Director of Finance & Controller and will have a dotted line reporting to the Director for Workday Solutions. The assignment will be from February 2024 through August 15, 2025.

This key role serves as a partner and collaborator to the Project Managers and is a member of the project management team, focusing on the people side of change for this large scale, complex project. Workday Finance will change business processes, systems and technology, and job roles and expectations. The Change Management Lead will partner with external consultants to plan and execute the Change Management workstream to drive user readiness and adoption of the Workday Finance platform and help ease the transition to the new way of working. Includes engaging stakeholders across the college community to ensure awareness of the transformation roadmap and to partner in proactively analyzing business processes, supporting technologies to identify impacts of change and associated risks and opportunities. Works closely with internal and external Project Managers to ensure these risks and opportunities are included in project plans to ensure quality of services upon deployment, enterprise adoption and long-term sustainability.

Responsibilities include, but are not limited to:

Change Management Lead Role

• Participate in the project management team to represent the people side of change to the project Executive Sponsors and Steering Committee

• Partner with external consultants to plan and execute strategies and tactics designed to drive adoption of the new way of working.

• Help the external Change Management consultant(s) understand and assess the institution, culture, nuances, issues, and challenges.

• Lead the Change Management workstream and establish Change Management team roles and responsibilities, including:

o Facilitate regular Change Management workstream meetings.

o Identify members and establish and lead the Change Agent Network (CAN).

o Assess and drive alignment across the sponsor coalition and management.

o Collaborate with external Change Management consultants to align Change Management timeline and activities with the overall implementation plan.

o Influence and navigate the organizational levels to support leaders to drive and champion change.

o Create and deliver communications, training, and change network sessions in service to Workday adoption and according to strategy and plans.

o Review and approve Change Management deliverables.

o Collaborate with external Change Management consultants to assess and monitor change readiness, resistance, and risk, develop solutions.

o Report on risk and recommended prevention and mitigation approach to project leadership, Steering Committee, and Executive Sponsors as requested.

o Assume responsibility for sustainment and transition to normal operations, including communications and training for regular updates and enhancements.

Testing Lead Role

• Responsible for leading and driving Stevens Testing workstream.

• Partner with external consultants to build testing strategy, test plan, and detailed test schedule.

• Setup and maintain testing tools.

• Responsible for driving the creation of Stevens-specific tests by collaborating with Stevens' workstream leads.

• Identify testers, onsite logistics, drive test execution and retesting defects/change requests.

• Communicate status and metrics to project team and leadership.

• Draft Test Plan(s) and collaborate with Stevens to finalize.

• Assist in developing testing activities, timeline, and test approach.

• Provide example test scenarios and insights to Stevens on creating tests.

• Monitor and help drive defect resolution, test execution results, help communicate status and metrics.

• Help ensure entry/exit criteria for each test cycle is met.

• Support testing kickoff and check-in meetings

Qualifications:

• Bachelor's degree and a minimum of 5 years' experience leading change management efforts for enterprise information technology transformation initiatives and/or a combination of relevant education, training, certifications and/or work experience. Advanced degree (Masters or higher) preferred.

• Intermediate to advanced proficiency in Microsoft Office products (Word, Excel PowerPoint, Teams), OneDrive/SharePoint and Smartsheet tools

• Possesses outstanding interpersonal relationship skills and an understanding of the inherent need to establish and maintain effective and collegial relationships with staff, faculty, and external stakeholders to influence others to align on a common vision.

• Ability to independently manage multiple deadlines and priorities with the highest degree of accuracy and efficiency. Flexible and adaptable.

• High degree of personal initiative, dedication, and commitment to making communication and change efforts successful and of the highest quality.

• Exceptional written and verbal communication skills

• Proven track record of driving and executing change using a structured change management approach/methodology, e.g., Prosci, ACMP; certification preferred but not required.

• Team player and able to work collaboratively with and through others.
