Parish & School Financial Consultant

The Mary Mother of the Church Pastoral Center, located in St. Francis, is the main office for the Archdiocese of Milwaukee. The archdiocese covers 4,758 square miles in southeast Wisconsin and including 10 counties. Almost 200 parishes, over 100 Catholic schools, 8 cemeteries and the St. Francis de Sales Seminary are all part of the Archdiocese.
The Parish & School Financial Consultant serves as a resource to assist parish and school administration with financial and accounting matters. This is done, in part, by working to ensure that parish finance personnel are providing the appropriate financial information to pastors and councils, enabling them to make informed decisions. Our consultants facilitate this process by providing assistance with QuickBooks, budgeting, accounting, forecasting, capital planning, financial analysis and other financial matters. The consultant is available to meet on-site with parish personnel, as well as remote support.
Key Responsibilities
1.Financial Support for parishes and schools.
- Provide guidance on the requirements described in the Parish Financial Management Manual.
- Provide consulting support to parishes and schools with day-to-day accounting and financial questions.
- Payroll, tax compliance and miscellaneous other questions that may arise.
- Assist with the preparation of the annual priest compensation information.
2. Perform Parish Review.
- Schedule and perform on-site parish reviews. A parish review is focused on internal controls and accuracy of the financial statements according to the Parish Financial Management Manual
- Prepare summary of findings from parish reviews; offer suggested improvements in reporting and controls.
- Communicate areas of concerns from reviews to pastors, trustees, parish staff and appropriate archdiocesan offices for timely resolution.
3. Assist the Director with review of annual parish financial statements (Confidential Financial Statement).
- Review and analyze the CFS reports received from parishes and schools.
- Contact parishes, as needed, to clarify information submitted on financial reports and provide guidance, if necessary.
- Prepare consolidated analytics of fiscal year results to support strategic planning for the archdiocese.
- Review the financial audit reports for schools that participated in the Wisconsin, Milwaukee, and Racine Parental Choice Programs and the Special Needs Scholarship Program.
- Assist in the preparation of financial reports for the Vicar General visits.
4. Assist the Director of Parish Finance in planning and development of programs and training curriculum relating to parish finances.
- Collaborate on developing education and training programs for parish and school financial and administrative personnel, pastors and trustees.
- Assist in leading the New Business Administrator Institute.
- Attend the Business Administrators of the Archdiocese of Milwaukee (BAAM) networking group and present on various topics, as requested.
- Assist with updates to the Parish Financial Management Manual.
5. Involvement in parish budget approval procedure.
- Review and analyze the annual budgets submitted by parishes and schools, ensuring preparation in accordance with the procedures in the Parish Financial Management Manual.
- Consult with parishes and schools concerning preparation methodology and operational alternatives for most efficient use of funds.
- Assist Director by presenting proposed deficit budgets to the Archbishop, with recommendation actions short and long term.
- Assist in following up with parishes and schools on any required budget actions directed by the Archbishop or Leadership in the central offices.
6. Assist other offices and participate in recurring and special projects.
- Participate in discussing and resolving parish and school items.
- Review and process parish proxy requests for major project expenditures.
- Assist with Building Commission projects with the analysis and review of the financial viability of projects.
- Collaborate with Archdiocesan Offices to assist parishes and schools to achieve success.
- Provide financial planning and analysis support to parishes, schools, and the central offices.
- Other special projects as assigned.
Qualifications
- Effective coaching skills to assist our parish leaders, employees and volunteers through financial and operational matters.
- Effective communication skills, both verbal and written.
- Organization and time management skills are essential for success in role.
- Knowledge of accounting and audit practices.
- Financial analytical skills for preparation of parish and school reporting, consolidation and analytics.
- Comfortable presenting to groups of various professional backgrounds.
- Knowledge of organizational structure of parishes and of the Archdiocese.
- Skilled in Microsoft products - Outlook, Excel, Word, and Powerpoint.
- Proficient in collaboration with a cross functional team to address and resolve complex problems efficiently.
Education, Training and Experience
- Bachelor Degree in Business Administration or Accounting is required. An MBA or CPA certificate is desirable.
- 1-5 years of accounting experience.
- Audit experience is desirable, but not required.
- Knowledge of QuickBooks is desirable.
- Experience working in parishes as an employee or volunteer is desirable.
- Knowledge and understanding of the Catholic Church and its teachings is desirable.
Compensation and Benefits
The position is a full-time (40 hours per week), salaried position working in-person at the Archdiocese of Milwaukee Pastoral Center. The Archdiocese of Milwaukee provides a full-scope of employment benefits, including medical, dental, vision, flex-time, Catholic school tuition assistance for children of employees, and a pension program. Occasional weekend and evening assignments and regular travel to locations throughout the Archdiocese is required.
