Description
The Electronic Document Management Coordinator is part of the Technology Support Services team (TSS) within the Office of Information Technology (OIT). This role provides technical support, management, troubleshooting, and oversight of official college forms and records management systems and procedures. This position plans, organizes, directs, and coordinates all activities involved in management of a comprehensive records storage, retrieval, maintenance, and disposal system. Additionally, the document management coordinator manages the creation of digital forms (eforms) and associated workflow for internal and public audiences while supporting the continuous improvement of eforms at RCBC.
Specific Duties and Responsibilities
Plans, develops, and administers records management policies and programs designed to facilitate effective and efficient handling of records.
Coordinates and directs activities involved with records management analysis, reports analysis, and supporting technical, clerical, micrographic, and printing services.
Confers with other administrators to ensure compliance with policies, procedures, and practicesof records management program.
Evaluates department records to determine retention requirements, methods of storage, space needs, and so forth.
Reviews retention periods for compliance with federal and state regulations; processes necessary paperwork for purging or otherwise destroying unneeded documents.
Develop new eforms and workflows to support transformation work and other projects.
Manage development of new forms and workflow to support service needs.
Work with departments to understand current business processes for implementation of eforms
Maintains and implements a schedule of improvements to the existing library of forms.
Monitor eforms performance and accessibility and assist with improvement work.
Keeps abreast of product improvements and best practice in the higher education platform.
Attend relevant training as required. Use this knowledge to contribute to service planning for eforms.
Provides information including updates, status, and completion information to manager, help desk ticketing system, and/or users.
Manage internal eforms user permissions and system access.
Acts as a key contact with platform supplier for any problems with the service.
Refers issues they cannot resolve to their supervisor for assistance.
Performs other duties as assigned.

Minimum Qualifications
Education Required:
Associate degree or equivalent training/certifications/experience. Bachelor’s degree preferred but not required.
Experience Required:
Experience working on forms development and document management solutions. Etrieve (Softdocs) and RIMS (Sunrise Systems) preferred.
Skills/Abilities /Knowledge /Other Requirements
Analyze existing records retention and maintenance procedures, recognize problem areas, and recommend effective solutions.
Effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Utilize various types of electronic and/or manual recording and information systems used by the College.
Evaluate and assist with filing operations and systems used throughout the various departments; recommend improvements where appropriate.
Create and modify digital forms and associated workflows.
Proficient in JavaScript and CSS and WYSIWYG environments.
Meeting with groups of users to discuss form structure and workflow.

INSTITUTIONAL EFFECTIVENESS:
Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
