Position Summary
Directs the leaders who supervise the financial planning, budgeting, purchasing, human resources and facilities operations for the Division University Health and Well-Being (UHW). This position is part of the senior leadership and reports directly to the Assistant Provost of University Health and Wellbeing (UHW).
Areas of Oversight:
The Director of Operations will oversee the offices of budget and finance as well as human resources/facilities within the UHW Central Administration. These offices are responsible for the following:
- Budget and Finance; all financial matters including the development and oversight of all budgets and fund types which includes but is not limited to general fund, auxiliary, grants, gifts and endowments and associated agreements and contracts. This team is responsible for all state, federal and local tax reporting and follow all laws, regulations, and policies. Primary responsibility for budget planning and forecasting while leading work of others. Provides analysis regarding financial and business matters related to the MAU. Manages monitors and reports on business and finance budgets. Budget planning and development including revenue generation and expenditure controls. Works collaboratively with MAU leaders to develop and adhere to budgets.
- Human Resources/Facilities ; focused on organizational effectiveness, workforce planning, and employee engagement. This office partners with business leaders to develop and execute HR strategies focused on talent management, organizational effectiveness, workforce planning, employee engagement and supporting diversity, equity, and inclusion within the division. This includes critical human capital direction in accomplishing the dual protective and investigative missions and develops HR policies, procedures and strategies aimed at hiring a premiere workforce. This office also oversees the facility operations for UHW, which includes planning and coordinating activities concerned with repair, maintenance, renovation, and new equipment installation.
Under the direction of the UHW Assistant Provost/Executive Director the Director of Operations contributes to the development implementation of the Division’s strategic plan priorities and program management and is responsible for supporting the execution of the Executive Leadership Team’s vision as it relates to financial and human resources. Director of Operations must thrive in an fast-paced and deadline-oriented workplace while managing the administrative staff.
CHARACTERISTIC DUTIES – RESPONSIBILITIEs
Strategic Planning 25%
- Prepares short and long term financial goals for the division and advises the Executive Administration and UHW departments on budget and administration.
- Directs the development of analytical studies for administrative and data analysis with other institutions related to areas of oversight.
- Develops and implements operations and best practices related to finance, budget, and human resources aligned with goals and objectives set forth by the Executive Leadership.
- Efficiently manages human and financial resources to optimize performance and achieve organizational objectives.
- Contribute to the development and implementation of the MAU’s strategic goals and objectives.
- Align projects and operations with the overall strategic direction of the MAU.
Administrative Oversight-25%
- Monitors compliance with all applicable University policies and procedures.
- Oversees budget and financial information for all units within UHW.
- Provide leadership to the finance and human resources teams, including hiring, training, and mentoring staff. Foster a positive and productive work environment.
- Implement and monitor quality control processes to maintain high standards of service delivery.
- Identify potential risks to finance and human resources operations and develop strategies to mitigate and manage them effectively.
- Evaluate and implement technology solutions to streamline operations and improve efficiency.
- Establish key performance indicators (KPIs) to measure and track the success of finance and human resources operational processes. Use data to make informed decisions.
- Develop and implement contingency plans to address unforeseen challenges or crises that may impact operations.
Financial and Administrative Oversight-25%
- Monitors compliance with all applicable University policies and procedures.
- Oversees budget, preparation, and financial information for all units within UHW.
- Oversees the preparation, reviews, and analyzes monthly and annual consolidated financial statements and any specialized financial reports.
- Responsible for safeguarding UHW and University assets.
- Prepares and/or directs the preparation of cost accounting models and system analysis and design materials to conduct analysis for the division.
- Develops, implements, and monitors financial plans for building renovations, construction, and maintenance projects.
- Participates in the annual billing rate review and cost model analysis for establishing new business operations start-ups.
- Develops financial plans for new business operations projections year planning and breakeven analysis
- Reviews and approves budget reallocation requests and expenditures transfers related to the university general fund to maintain integrity of the budget process.
- Responsible for the planning and maintenance of all financial reserves
Project Management and Other Duties as Assigned 25%
- Oversees and manages specific projects or initiatives as assigned by the Assistant Provost.
- Represent the Assistant Provost in meetings or events when necessary, ensuring the desired priorities are communicated and understood.
- Drive key strategic initiatives identified by the Assistant Provost.
- Provide support to the executive leadership in decision-making by conducting research, analyzing data, and offering insights.
- Develop and execute project plans, including defining scope, goals, deliverables, and timelines.
- Coordinate and communicate with project stakeholders, ensuring a clear understanding of project objectives and progress.
- Monitor project budgets, resources, and timelines to ensure successful completion.
- Identify and manage potential risks and issues, implementing mitigation strategies as needed.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year degree program in accounting or related field; five to eight years of related and progressively more responsible or expansive work experience in project management, human resources, operations, accounting and auditing procedures; and electronic systems, experience in Diversity Equity and Inclusion; or an equivalent combination of education and experience.
Desired Qualifications
Master's degree in business or related field.
More than eight years of related and progressively more responsible or expansive work experience in project management, human resources, operations, accounting and auditing procedures.
