Job description

This position will provide programmatic and operational support for two TRIO federal grant programs; Student Excellence and Leadership Program (A U.S. Department of Education funded Student Support Services (SSS) Program) and Upward Bound. The purpose of TRIO grants is to provide academic, personal, career and financial preparation and services to students who are low-income, first-generation college, and/or have a documented disability. This position is grant-funded where 50% is SSS/SEL and 50% is Upward Bound. Continuation of the position is dependent upon grant renewal.

Characteristic Duties and Responsibilities:

  1. Process all financial transactions - following federal, state and college guidelines - and maintain bookkeeping of these transactions.
  2. Maintain all program budget reports and collaborate with the accounting department to reconcile budgets and prepare monthly, quarterly and year-end reports.
  3. Compile statistical data and assist with the annual performance report (APR)
  4. Prepare requisitions, work requests, printing requests, and follow-up on purchase orders.
  5. Serve as a liaison with Accounting regarding financial transactions, account number changes, credit card bills, cash advances, and any other accounting-related matters.
  6. Assist with coordination of yearly programming - including recruitment, student-staff training, orientation, and any other programs as outlined in grant narratives.
  7. Monitor and maintain student files and program records such as letters, reports, alumni contact information, and all other materials pertinent to the operation of the department.
  8. Maintain websites.
  9. Field telephone calls, take messages, screen questions, answer questions when appropriate, and identify appropriate resources.
  10. Schedule classrooms, audiovisual aids, meeting rooms, travel, and other logistics for office staff and students.
  11. Maintain adequate office supplies such as stationery, envelopes, requisitions, computer supplies, etc.
  12. Perform other similarly-related duties as assigned.

Credentials and Experience:

  1. Associate's degree preferred, in business, accounting or a related field, or equivalent experience.
  2. Previous office/business experience required; proficiency working with databases, spreadsheets and other record-keeping software.
  3. Experience with program management and record retention.
  4. Some understanding of working with grant-funded programs and experience working with college aged students preferred.
  5. At least 2 years' experience working with low-income, first-generation, and/or students with disabilities.
  6. Basic knowledge of the academic, social, economic, and cultural challenges faced by SSS/SEL-eligible students.
