Job description
Cobb EMC has an exciting opportunity for a Claims Correspondence Associate t o process and maintain Cobb EMC Damage Claims and Surety Bonds. To provide additional office support to the Member Services Department and other departments as necessary, including Front Desk duties.
Schedule: 8am- 5pm and hybrid schedule (Minimum of 3 days in the office)

What you will be doing:
Customer Inquiries
- Greet and accommodate all customers/visitors in a professional, efficient, and courteous manner.
- Handle high resolution and complex customer contacts from Call Center and Customer Service.
- Resolve walk-in customer inquiries in an effective and timely manner.
- Process billing adjustments when necessary; accurately maintain customer master file.
- Set up commercial customer accounts in accordance with deposit requirements and surety bonds.
- Recommend changes to policies and procedures to improve customer service.
- Communicate with insurance companies in reference to damage of Cobb EMC property.
Surety Bonds, Surety Bond Cancellations and Surety Bond Claims
- Prepare surety bond forms and send to commercial members.
- Process incoming surety bonds. This includes notating customer’s account, setting up the bond as the non-cash deposit, removing the existing cash deposit and stopping the deposit SA.
- Process cancellations of surety bonds. Providing correspondence to member, informing them the bond does/or does not require renewal. Notate the account indicating the status of surety bond and removing any non-cash deposit or charging a deposit if bond should be renewed.
- Process surety bond claims when member has not paid final bill by the due date. This includes sending a certified letter to the bond company requesting payment for Cobb EMC.
- Process Proof of Claim forms.
- Maintain records of all correspondence and paperwork relating to surety bonds and prepare all for optical imaging while notating customer accounts.
Damage Claims
- Receive and process monthly damage claims received from accounting department.
- Initiate collection letter to person or company that caused the damage
- Contacts insurance company to establish Subrogation Claim, sends requested information to insurance company; up to and including detailed breakdown of charges, photos of damage and police report.
- Prepare and send accounts to collection agency when all internal collection efforts are exhausted.
- Provide Damage Claim totals to senior management for Damage Claim Write-Offs.
Other Duties
- Provide back-up for the front desk receptionist breaks, lunch and vacation etc.
Minimum Qualifications:
- High School or equivalent.
- Minimum five years in the utility industry in a customer service or collections position.
- Three years calculating deposits for commercial accounts.
- Three years of experience initiating claims and billing
- General office experience that includes working with the general public, insurance companies and contractors.
Preferred Qualifications:
- Previous utility industry experience in a public contact position.
- Working knowledge of collection procedures for damage claims
- Working knowledge of NISC iVUE System, processing surety bond forms, claims and cancellations.
Skills:
- Excellent oral and written communication skills.
- Interpersonal skills to interact with customers and employees.
- Proficiency in effectively addressing and resolving inquiries concerning surety bonds and damage claims.
- Good mathematical and analytical skills for bond and deposit calculations.
- Demonstrated ability to organize, plan, prioritize, balance, and complete multiple responsibilities with minimal supervision.
- Demonstrated ability to effectively work in a fast paced, high-pressure work atmosphere.
- Adequate 10-key calculator and data entry skills.
- Proficiency with personal computers.
