Full Time
The Mississippi Annual Conference of The United Methodist Church is excited to announce a search for an Executive Assistant to the Bishop. The Executive Assistant will be responsible for providing high-level administrative support to the Resident Bishop. The person in this role will collaborate with internal and external partners to schedule and offer meeting and travel coordination support. The Mississippi Conference is seeking candidates who are proficient at: formatting and writing documents, developing, and distributing meeting materials, facilitating travel arrangements, and creating and maintaining expense reports and budgets. This position involves 10 - 15% travel throughout the Conference area and for general and jurisdictional meetings.
Key Responsibilities:
- Perform administrative duties, including maintaining proper files, calendars, arranging meetings, making travel arrangements, and communicating with internal and external clients and constituents of The United Methodist Church (UMC). Composes and coordinates correspondence for the Bishop and Episcopal Office staff as needed.
- Assists in the management of Episcopal Office finances including Bishop’s reimbursements, vouchers for the bishop’s discretionary fund, assisting with auditing requirements, and office transactions including GCFA transactions.
- Assistant in the coordination of Cabinet meetings, including developing agendas, maintaining calendar of events, and agenda planning team member.
- Provide administrative support to ensure a smooth and effective appointment process, including coordinating with multiple departments to ensure transfer of information, updating appropriate databases, and as necessary attending cabinet meetings.
- Coordinates and manages all hospitality needs for the Episcopal Office including greeting and caring for those coming to the office, assuring an appropriate supply of food and beverages for visitors and meetings, arranging any catering needs, sending of cards to clergy or staff as directed by the bishop, and arranging appropriate hospitality for visiting bishops and spouses or other guests of the Conference.
- Assists the Episcopal Office in preparation and organization of Annual Conference by attending all Annual Conference planning sessions, assisting with logistics and onsite accommodations, coordinate Annual Conference guests and speaker logistics, and attend the Annual Conference meeting. Additional Annual Conference duties shall include, but not be limited to, creation of appointment lists, creation of appropriate certificates (elders, retirees, etc.), attending plenary sessions to keep track of follow-up items that need to be cared for by the Bishop, and working with the Annual Conference worship team leader being a liaison as the team plans and carries out the vision of the Bishop for worship at the Annual Conference event.
- Other duties as assigned by the bishop.
Qualifications:
This is a key leadership role in a Christian organization that is focused on promoting the teachings and values of Christ. It is therefore preferred that the jobholder be of the Christian faith, ideally of United Methodist denomination, and driven to be Christ centered and Christ-like. In addition, the honoring of diversity in all manifestations is expected.
- Bachelor’s Degree required.
- 3 - 5 years’ experience performing administrative duties is required, executive experience is preferred.
- High level of proficiency with MS Office products including Outlook, Word, Excel, PowerPoint, Publisher, and video conferencing software such as zoom, Webex, etc.
- Proficiency in using and operating databases is strongly desired, including BrickRiver.
- Knowledge of general management principles and organizational policies and procedures.
- Knowledge of administrative procedures.
- Excellent organizational skills.
- Strong written and verbal communication skills. Proficiency with grammar, spelling and punctuation.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Proven interpersonal and leadership skills.
- Knowledge of the structure and polity of The United Methodist Church is strongly desired.
- Must be able to maintain strict confidentiality.
