Responsible for financial and business office duties and applies to Clinical Facilities (Skilled Nursing Facilities) and Non Clinical Facilities (Personal Care, Independent Living, and Childcare Service Lines).

It is the duty of all employees to promote and support a resident centered care environment that ensures the treatment of all residents, family members, children, parents, visitors, fellow employees and customers with kindness, respect, and dignity.

Essential Duties And Responsibilities:

1. Commits to the Vincentian Collaborative System (VCS) mission to nurture and sustain a ministry of compassionate care that preserves the human dignity of persons within a diverse and changing society.

2. Upholds and promotes the VCS values of spirituality, compassion, quality, dignity, collaboration, advocacy and stewardship.

3. Promotes and supports a resident centered care environment that ensures the treatment of all residents, family members, visitors, fellow employees and customers with kindness, respect, and dignity.

4. Adheres to all facility and department work rules, policies and procedures.


5. Maintains and reports detailed and accurate operational census.

6. Interview/discuss financial responsibilities with client families.

7. Completes necessary regulatory and organization documentation, which may include CMS, DOH, and CAO questionnaires and surveys or DHS and Keystone Stars correspondence, if applicable, on a timely basis.

8. Timely responds to private pay billing questions.

9. Prepares and/or distributes information to appropriate facility teams or individuals.

10. Reviews business related documents for accuracy and validity.

11. Completes financial management responsibilities, which may include the following: accounts receivable and payable tasks and supply orders.

12. Maintains confidentiality while performing duties relating to clients, families, visitors, and employees.

13. Performs all other duties as assigned.

a. Non-Clinical

i. Greets family, children, and visitors in addition to performing all other receptionist duties.

ii. Answers and screens calls. Takes messages or answers all routine and non-routine questions.

iii. In collaboration with the management, monitors and manages staffing ratios.

iv. Assists in the planning and preparation of monthly staff meetings and in-service days.

v. Coordinates with other Vincentian Facilities and support services or outside vendors to manage maintenance, transportation, intergenerational programming, dietary services, extracurricular programming, and other services as needed.

vi. Assists with the management and coordination of calendars.

b. Clinical

i. Manage petty cash and resident funds.

ii. Track Medicare and third-party payer coverage.

iii. Assist residents/responsible parties in navigating and understanding insurance policies and benefits.

iv. Manage facility billing functions including but not limited to; census updates, payor updates, and entry of ancillaries.

v. Prepare Medical Assistance (MA) revalidations and MA applications as needed.

vi. Required to support the organization's Code of Ethical Conduct and Compliance Program by timely reporting any actual or suspected compliance, fraud and abuse, ethics or policy violations.

Education/Experience:

1. High School graduate or equivalent required.

2. Associate degree preferred but not required.

2. Minimum of 2 years business office experience in related industry preferred.

3. Experience with PointClickCare preferred in the clinical setting.
