We are currently looking for a Contract Administrator to join our team in Carmel, IN! The Contract Administrator plans, coordinates, and manages all aspects of a portfolio of contracts with other vendors/businesses. The Contract Administrator ensures all agreements comply with regulations and industry standards and
acts as a point of contact who can address any concerns.
What are the responsibilities of the Contract Administrator?
- Review contract estimates, including proposed materials, production costs, etc. and determine whether they seem
reasonable and accurate. - Draft, update, and maintain invitations for bid, requests for proposals and accompanying contract documentation (if
applicable, based on location). - Participate in the negotiation of assigned contracts. Review contract cost submittals and execute contracts in
accordance with delegated authority (if applicable, based on location). - Monitor and maintain compliance with policies and procedures, contracting standards, and applicable federal, state,
and local laws governing the administration of public agency contracts. - Monitor contracts and move forward with clearance process, contract termination, extensions, or renewals in
accordance with best practices. - Maintain record for correspondence and documentation in relation to established contracts and those in progress.
- Solve any contract-related problems that may arise with other parties and internal contacts.
- Track critical projects and save documentation for recording purposes
- Assist team with drawing up contract documents or change orders, as needed, ensure it is sent out to project team
via e-mail correspondence and save documentation in proper location for recording purposes. - Review proposals for completeness and compliance with organizational standards.
- Administer, direct, and participate in the auditing of assigned contracts. Prepare and maintain related records and
files. - Contribute to cost reporting by pulling data, formatting reports and by verifying proper coding, purchase orders and
invoicing information. - Ensure projects are documented and is approved by project team prior to processing first payment.
- Efficiently and consistently communicates project issues to supervisor.
What are the role requirements?
- Associates degree in construction management, business administration or similar field is preferred.
- Minimum five years of experience is preferred.
- Previous experience in a construction setting is preferred.
- Strong negotiation and mediation skills.
- Attention to detail to spot inconsistencies in contracts.
- Able to effectively and professionally communicate both orally and in writing, including over the phone.
- Possess exceptional organizational and time-management skills, including working with multiple projects
simultaneously. - Proficient in Microsoft Word, Excel and Outlook programs.
- Experience using Yardi Voyager or related property management software is preferred.
- Must have an acceptable driving record and a valid driver’s license.
- Regular attendance, work ethic and strong interpersonal skills are required for success in this position.
