The Full-Time Human Resources Associate is responsible for oversight of benefit and payroll vendor relationships and vendor management support in addition to special projects. This position will work with the Director on the administration of the Pension Plan and Smart Trip benefit.
ESSENTIAL FUNCTIONS AND DUTIES:
- Develop ongoing tracking of all benefit and payroll vendors for compliance, SOC2 reporting and monitoring vendor performance against service agreements.
- Work closely with Vendor Management Team and Information and Security Team to provide up to date documentation on vendors and ensure compliance and security on benefit and payroll data.
- Assist Director with pension plan administration to include annual testing census file, day-to-day administration, annual statement preparation, 5500 preparation and submission, audit and ensuring mailings are completed and distributed timely.
- Monitor and respond timely to the Benefits inbox daily during incumbent’s work schedule.
- Maintain the New Hire and Qualifying event tracking spreadsheet and send appropriate reminder communications to employees in order to ensure they meet the 31-day period.
- On a bi-weekly basis, enter all changes/enrollments into the iSolved system for any submission reported through the Empower deferral change report.
- Smart Trip benefit administration
- Assist with preparing the year-end 1099 Misc Request forms for the reported imputed income of split dollar policies and trust payments made through 3rd party vendors. Coordinate the mailing of any annual statements needed to be mailed to individuals.
- As needed, troubleshoot and resolve benefit situations that arise in a professional, courteous and confidential manner
- Assist Director with ensuring company compliance with provisions of Employee Retirement Income Security Act regarding the Pension Plan. Prepare reports and applications to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies.
- Work closely with Director of Benefits and Head of HR with merger and acquisitions to include assisting with the closeout of acquiring company’s retirement plans
- Responsible for staying current on changes to state and federal laws pertaining to benefits and reports necessary or suggested changes to management.
Qualifications
SKILLS/QUALIFICATIONS:
High school diploma or equivalent required, Bachelor’s degree preferred
Minimum of five (5) years of working experience in the Benefits area, accounting and/or compliance
Strong demonstrated relationship management skills required
Proficiency in Microsoft Office Products Required
Excellent organizational, communication and interpersonal skills
Must demonstrate a strong ability to prioritize work, balance the needs of the various employees and managers and ability to work independently without supervision
Ability to interact well with employees of all levels
Ability to work in a rapidly growing, fast-paced environment
Ability to demonstrate a positive and effective demeanor during stressful or demanding situations
Ability to travel as business needs arise throughout the year, some overnight travel may be required
Ability to maintain a high level of confidentiality and professionalism is essential
Ability to provide high level of customer service to staff and ability to identify when questions/situations need to be escalated to management
