We are currently looking for a Workplace Coordinator to join our Chicago-based Workplace team. As a member of this team, you will participate in administrative and office services work and assist with various Workplace projects.
What you’ll do:
- Serve as primary vendor contact for variety of Workplace related functions.
- Assist with onboarding/offboarding procedures including: New Hire Desk Set Up/Decommissions; maintain company directory.
- Coordinate employee building access and badging & key assignments; create employee badges as needed
- Assist with inter-office traveler logistics, ensuring desk assignment and technology needs are coordinated for visiting employees and guests.
- Participate in Workplace-related initiatives, such as construction projects and seating reorgs
- Manage onsite furniture needs & inventory and offsite storage as needed
- Schedule and coordinate on-site meetings as needed throughout Chicago office.
- Maintain conference rooms; book meetings; assist with set up of A/V equipment and video conferences as needed
- Assist with Workplace-organized events and activities, running specific events as needed
- Provide regular backup coverage for Receptionists and become fully trained to manage all aspects of reception areas
- Maintain files and record keeping systems and vendors.
- Assist with various tasks including building work orders, supply stocking and ordering, emergency management coordination, etc.
- Maintain Workplace budgets and cost tracking as needed
- Other duties as assigned to meet business needs
What’s needed:
- Previous administrative support experience required
- Previous workplace, facilities, real estate or project coordination experience preferred
- Ability and willingness to work flexible hours to accommodate vendor scheduling needs.
- Strong verbal and written communication skills; excellent phone and email etiquette
- Proficiency in MS Outlook for email and calendaring and proficiency with MS Word, Excel, and PowerPoint
- Excellent customer service skills
- Confidence, initiative, and the ability to learn new things quickly
- Motivated, self-driven, adaptive, solution and detail oriented
- Proven ability to multitask, prioritize and take direction from multiple sources
- Proven ability to handle confidential information in a professional manner
- Must possess strong initiative to push tasks/projects to completion and the ability to work well independently
- Dedicated team member that works well in a group project setting
- Bachelor’s degree preferred
