Title: Special Events Manager

Wage: $60,000 - $65,000 Base Exempt Salary

Description of Work:

The Special Events Manager will be responsible for a variety of important projects related to Out Boulder County’s major fundraisers, 3rd-party events, other large community gatherings and celebrations, along with others. This position will be responsible for assisting the Director of Operations in supporting our major sponsors, conceptualization, organization, and execution of events, overseeing and providing guidance to the special events team, handling event details (permitting, contracting entertainment, vendor coordination, admin work). This position is regularly required to attend events outside of normal work hours. This position will also be responsible for other duties as assigned, including but not limited to: answering telephone calls, managing volunteers, and assisting members of the community who are seeking resources.

Duties:

● Work with stakeholders to conceptualize annual major events

● Take the lead in creating timelines, delegate to the team, and ensure that all major event needs are met on time

● Work with external contract workers to finalize branding for all events

● Manage Special Events Coordinator, Volunteer Coordinator, and their projects

● Ensure that all work is being tracked and maintained using the budgets provided

● Assist in creation of Special Events budgets

● Serve as the lead in conversations about organizational merchandising and oversee its efforts

● Work with Directors of Operations and Director of Communications to create a comprehensive marketing plan for all major events

● Assist in seeking funding through sponsors, grants, etc.

● Ensure that all sponsor benefits and deliverables meet timelines

● Serve as the lead in selecting, supporting and managing all entertainers

● Assess and communicate staffing needs (employees/volunteers) for major events

● Work with Director of Communications to maintain relationships with advertising firms and ensure timelines are met

● Assist in the procurement of event vendors, exhibitor booths, and any other contractors necessary to execute our events

● Work with Director of Operations on strategies to develop and coach direct reports

● Serve as the primary lead for all major events and be on-site for them

● Assist in training of volunteers

● Track all relevant data including attendance, volunteer hours, etc.

● Secure and manage all event vendors

● Apply for necessary permitting and ensure compliance with city and county guidelines

● Work with the special events team in order to organize our community outreach efforts and other 3rd-party events.

● Other duties as assigned

Qualifications

● Computer proficiency required, including familiarity with Microsoft Office Programs, including Excel, Word, and PowerPoint, and Google Drive. CRM experience preferred.

● Bilingual /English language skills strongly preferred

● Highly organized

● Access to reliable transportation required

● This position is physically demanding and requires the ability to lift 50 pounds, work at a computer for three hours a day or more and tolerate numerous interruptions throughout the day

● Must have a valid driver’s license and safe driving record

● Job offer contingent upon completion of background check
