Montgomery College, Rockville Campus, has an immediate need for a FT Mailroom and Warehouse Manager in the Office of Facilities. The work schedule is 5 days and 40 hours a week. This is a Non-Bargaining, Exempt, Grade 27 position. Montgomery College promotes and creates a working and learning environment rooted in the basic tenets of fairness, diversity, and inclusiveness.
Duties include but are not limited to:
Provides professional supervision and oversight of mail services and receiving operations College-wide to include six physical locations throughout the County, served by a widely distributed team of full-time staff and numerous student workers, involving goods of significant value and organizational importance. Develops, implements, reviews and oversees all tasks and activities associated with the sustained, secure, and efficient operations of the department with a focus on quality service.
- Oversees and directs all daily activities associated with the receipt, storage and dispatch of goods. Ensures efficient goods-in and goods-out process flow while maintaining accurate inventory of on-site goods and materials. Ensures the relevance and accuracy of all documentation relating to the work flow process.
- Oversees the development and sustained use of a relevant and effective reporting structure spanning all operations serving as a resource for tracking operational performance and improving processes.
- Oversees and ensures that mail-room and warehouse inventories are accurate and controls inventory levels with robust, automated reconciliation processes.
- Ensures the relevance and accuracy of all documentation relating to mail and goods. Develops and fosters a zero-tolerance mindset for deviation from the use of quality processes to ensure deliverables are fully met.
- Understands the needs of College constituencies and ensures alignment of those needs with the focus and commitment of the daily mail-room and warehouse operations.
- Keeps up-to-date on all operations and responds accordingly to high-level departmental inquiries.
- Coordinate the development and implementation of IT applications for aiding and supporting appropriate mail-room and warehouse tasks and activities.
- Monitors and manages budget transactions related to mail-room and receiving operations. Participates and provides input to the budget preparation process.
- Ensures USPS postal permits are maintained, monitors account balances, and requests replenishment funds as needed.
- Ensures the proper functioning of equipment. Ensures the adequate availability of supplies. Monitors and controls consumption of supplies inventory.
- Oversees and directs daily work activities. Oversees the implementation and performance of planned maintenance programs. Schedules maintenance and repair needs to minimize system interruptions. Utilizes computerized work management system (TMA) to control work flow and ensure task completion, documentation, and tracking.
- Develops and documents campus specific standard operating procedures; monitors and enforces compliance. Ensures timely response and quick resolution to customer complaints.
Manages and supervises the College's capitalized asset tracking program, including initial database entry, tagging, audits, identifying surplus goods, and disposal of assets.
Provides administrative support to, and oversight of, all operational areas of mail services and warehouse/receiving operations throughout the College.
Develops and maintains the appropriate operational metrics and key performance indicators (KPI's).
Required Qualifications:
- Associate's degree and/or any equivalent combination of education, training, and experience providing understanding of the field and the ability to perform the duties of the job.
- A minimum of three years of experience in mailroom or warehouse operations. If three years of experience in one area, at least one year of experience in the other area.
- A minimum of one-year supervisory experience.
- Knowledge of United States Postal Service regulations, mailroom and warehouse operations. Knowledge of financial and operational tracking processes and reporting.
- Broad computer skills including Microsoft Office Suite software and automated financial/procurement system.
- Valid Driver's License and evidence of good driving record is required.

Preferred Qualifications:
- Bachelor's Degree Preferred
- Certified Mail Manager or Warehousing Certification
Hiring Range $63,375 to $82,376 annually. Initial salary placement is based on candidate experience and internal equity. Please include a complete resume including all relevant and related work experience.
