Job description
Position: Front Desk Administrative Assistant
As the first point of contact for Monogram Health, the ability to deliver the highest level of customer service is key. This position requires you to be friendly, fiercely organized, detail-oriented, have a willingness to learn, be a self-starter and “go-getter”.
Roles and Responsibilities
- Coordinate all aspects of our front office area including providing a friendly professional demeanor to our guest, vendors, and employees.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Answer, triage and transfer incoming calls including directing our members, vendors, and inquiries.
- Monitor the following corporate mailboxes throughout the day: [email protected], main fax line, and main line voicemail box.
- Monitor conference room schedules to ensure compliance with our office guidelines.
- Act as a face of the office to answer questions from staff and guests a variety of global needs from who to contact, where to go, or offer other types of assistance allow them to be more productive.
- Maintain neat and professional appearance for the lobby, kitchen, copy center, and our conference rooms. This will include stocking the areas with the appropriate materials, sanitizing as needed, straightening throughout the day. Will provide full support should that position be away from the office.
- Coordinate purchasing and storing of office supplies.
- Provide credit card receipts and notations to accounting when using corporate credit card.
- Provide travel support by making air, car, and lodging reservations. Assist with event planning as directed by manager.
- Schedule and setup meetings, prepare documents, and assist operation team with research and/or reports generation as needed.
- Assist with the onboarding of new hires by making name badges for orientation, maintain training binder inventory, gathering access badges and distributing welcome package and/or gifts.
- Perform other duties as assigned by manager
Position Requirements
- You should be comfortable being the face of the office to answer questions from A-Z and be able to juggle multiple priorities.
- High school level-education required; associates degree or higher education preferred.
- Understanding and appreciation of patient privacy laws, regulations, policies, and procedures.
- Solid customer service and professional communication skills, both written and verbal, required.
- Timely and reliable.
- Excellent organizational and time management skills and ability to handle multiple tasks with attention to detail.
- Always be willing to contribute and play a role in team efforts.
- Technically savvy when handling video and audio meetings, changing toner and resolving jams in scanners and copiers.
- Working knowledge Outlook, Excel, and Word. Ability to learn software programs easily.
- Demonstrated ability to handle confidential or sensitive issues in a responsible manner.
- Demonstrated professional office demeanor.
- Positive attitude and compassion for those who are chronically ill.
