Director of Operations and Compliance
Job Summary: The Director of Operations and Compliance is the key logistician of the School and the primary point of contact within the school to ensure smooth, efficient, and consistent daily operations. This position requires excellent judgment, organizational, planning, writing, project management and communication skills.
This position is responsible for ensuring compliance with the Conditional Use Permit (CUP) issued by the City of Palo Alto, a set of conditions which control and govern the use of the campus, including enrollment, traffic management, events and many other operational aspects of the School. The position is also responsible for the following areas: food service, vendor management, school calendar and event scheduling and compliance, reception desk, campus access, and safety.
The Director of Operations reports to the Associate Head of School for Finance and Operations and is a member of the Finance and Operations Team, the Safety Committee, and the Emergency Response Team. Direct reports include receptionists and the Director of Health Services and Safety.
Responsibilities: Conditional Use Permit Compliance (25%) - Ensure that Castilleja remains in compliance with all aspects of its Conditional Use Permit.
- Oversee reporting requirements for the City of Palo Alto.
- Ensure that the number of School events, number of attendees and type of event comply with CUP.
- Steward school policies regarding campus access.
- Work closely with School administration to ensure CUP compliance.
- Communicates expectations to employees and tracks their participation.
- Assistance with Neighborhood meetings.
Transportation 10% - Work with Transportation vendors to accommodate Transportation needs.
- Oversee the Vendor Contracts and manage costs.
- Coordinate with MS and US to set student behavior expectations.
TDM Program 15%- Oversee the School’s transportation demand management (TDM) program.
- Partner with Assistant Superintendent of Buildings and Grounds to operate an effective Transportation Demand Management (TDM) program.
- Communicate and follow up with employees to ensure compliance with the TDM program.
- Analyze performance data to identify opportunities for improvement.
- Work with outside vendors and consultants to provide required traffic and parking reporting to the City of Palo Alto, in compliance with our CUP.
- Assist with management of traffic monitors.
- Coordinate and track employee TDM incentives.
Food Service 10% - Oversee the School’s food service operation through direct management of third party contracted food service provider, ensuring a high quality, student-oriented dining experience which includes sustainability and curricular connections.
- Invoice reconciliation and calendar coordination for events and catering.
Jewish Community Center (JCC) Campus 5%
- Work in close coordination with the JCC to coordinate, safety, facilities maintenance and management, events, and nurture a healthy working relationship.
Calendar and Event Management 10% - Collaborate with key stakeholders to develop and maintain the School calendar.
- In coordination with internal and external stakeholders and vendors work to ensure events are in compliance with CUP.
- Coordinate and lead weekly calendar meetings.
Front Desk Management 10% - Supervise receptionist, review and adjust reception protocols and practices, and schedule reception desk coverage.
- Manage day to day logistics of visitor management.
Health and Safety 15%- Supervise the Director of Health and Safety
- Oversee and evolve School Safety protocols utilizing best practices for independent schools.
- Ensure compliance with applicable federal, state and local codes and regulations
- Coordinate with local police and fire departments when needed.
- Serve as a member of the Safety Committee and Emergency Response Team.
Qualifications - Bachelor’s degree and a minimum of three years of relevant experience, or combination of education and relevant experience
- Demonstrated experience in management of projects, including project planning, scheduling, tracking, and budgeting
- Exceptional organizational skills and demonstrated ability to prioritize work.
- Demonstrated ability to take initiative and ownership of projects
- Excellent interpersonal, written and oral communication skills
- Strong organizational skills
- Able to manage competing priorities
- Ability to use a variety of platforms (google, MSoffice, school dude / Event Manager
- Ability to exercise discretion and good judgment with sensitive matters and information.
- Ability to remain calm and think clearly in high pressure situations.
Physical Requirements:
- Requires the ability to sit, stand and walk for extended periods of time.
- Requires the ability to lift up to 25 lbs.

- Castilleja uses a competitive salary scale which takes into account the range of experience, education and skill level as well as internal equity and the comparator market. The yearly salary for this position ranges from $100,000 to $155,000. In order to provide room for growth, it would not be typical for a new hire to be at the top of the salary range.
