About This Position ChristianaCare is searching for an Administrative Coordinator to manage the onboarding of employed and rotating residents and fellows and support ChristianaCare's Healthcare Career Shadowing program. This position requires a detailed understanding of the Accreditation Council on Graduate Medical Education, as well as the policies and procedures of residency, fellowship, and student programs. Some responsibilities include.... Responsible for the collection and maintenance of credentials for rotating resident and fellow physicians including licensure, NPI numbers, medical school diplomas, proof of malpractice, certification cards, etc. Assuring that these physicians are assigned appropriate privileges at a system-level. Manage and conduct periodic audits to confirm the completeness of files of all residents and fellows, employed and contingent workers alike. Maintain notary status for Academic Affairs purposes, i.e. graduation certificates, residency verifications, etc. Run the external rotation process for employed residents and fellows. Provide guidance on International Rotations, required paperwork and credentials, liaison with the Risk Management and Legal offices with a focus on accuracy of rotation lists, malpractice insurance, etc. Responsible for submitting applications for all ChristianaCare-employed resident and fellow physicians for Medicare CMS-855O and Medicaid (DMAP) Ordering, Prescribing, Referring enrollment. Responsible for internal and external website maintenance for all residency/fellowship programs and the Office of Academic Affairs. Update the SharePoint newsfeed, including the Resident of the Month page. Support Social Media efforts within the Office of Academic Affairs implementing and maintaining accounts on multiple platforms Runs ChristianaCare's Healthcare Career shadowing program by providing significant experiences for students and those interested in exploring a variety of careers in healthcare with a focus on physician shadowing. ****Full job specification will be provided during the recruitment process. Minimum requirements include.... Bachelor's Degree required in Office Administration/Secretarial Science/relevant degree, or a high school diploma or equivalent and a minimum of one (1) to three (3) years' experience demonstrating knowledge and skills relevant to the position required. Experience working in Graduate Medical Education preferred. Familiarity with the organization and processes of medical education or ability to learn. At least three (3) years progressive administrative assistant experience or equivalent experience required, demonstrating successful office management experience with prior supervisory experience preferred.
