Job description
Lawrence Berkeley National Lab's ( LBNL ) Energy Storage & Distributed Resources Division (ESDRD) has an opening for an Administrator to join the team. In this exciting role, you will provide high-level professional service to group leaders and their research groups within the division. You will serve as an Administrator performing a broad range of diverse daily administrative tasks using professional standards and applying Berkeley Lab policies and procedures to meet programmatic and division administrative needs. You will also work with division management, Pr. Administrator and Program Manager to ensure that division and group leader support needs are triaged and fulfilled. You may assist and collaborate with the division administrative staff to plan and assist in organizing workload in order to ensure sufficient support for the scientific staff.
What You Will Do:
- Provide support to Division groups and programs in the areas of calendars and email, interfacing with both internal and external stakeholders on their behalf.
- Use strong analytical skills and independent judgment to establish and maintain sustainable systems to support Group Leaders in meeting prioritized deliverables.
- Work closely with Group Leaders to develop and coordinate staff meetings, internal seminars and dissemination of papers as relevant to group initiatives.
- Serve as a central point of contact to collate and disseminate information and contributions both Lab-wide and externally for moderately complex programs and initiatives in support of Group Leaders' roles as they relate to DOE funding.
- Assist scientific staff in coordination of proposal processes. Maintain boilerplate and all data records of proposals, correspondence, reviews, reports, etc.
- Serve as travel coordinator for Group Leaders, researching and recommending itineraries, making all domestic and international travel arrangements using the Laboratory's travel system.
- Plan, organize and coordinate all administrative support services covering time reporting, hiring, travel, publications, procurement, scientific equipment property matters, and other administrative functions as they pertain to group needs.
- Coordinate and manage high-level meetings and visits, researching and recommending venues, providing advice and insight for effective agenda development, coordinating with Conference Services and external locations to determine required audio/visual needs, developing catering menus and select caterers based on participants' needs.
- Update and maintain group and division publications on ETA website and UC Pubs system. Collaborate with Pr. Administrator to effectively coordinate full coverage for all ESDR publication updates.
- Assist in evaluating/updating content for group and division websites, create and provide basic recommendations to Group Leaders for newsletter and announcement content based on current initiatives.
- Collaborate closely with Pr. Administrator and Program Manager, recommending best practices for process improvement and utilizing Google apps and other cloud-based technologies to streamline and enhance communications.
- Work closely with the division Program Manager communicating group hiring and planning of space needs on a regular basis.
Additional Responsibilities as needed:
- Help fulfill the overall goals of the Division by performing additional tasks as assigned when the need arises.
What is Required:
- BA/BS degree desired and minimum of zero to four years experience or equivalent combination of directly related experience independently providing support to a large or complex group.
- Excellent judgment in managing daily administrative activities.
- Excellent verbal and written communication skills, including demonstrated ability to effectively interpret and communicate policy and instructions.
- Ability to handle confidential documents and communications.
- Substantial and comprehensive knowledge and experience using Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe Acrobat.
- Substantial and comprehensive knowledge and experience in the use of Google applications for email and calendaring functions, Google Drive, Forms, Smartsheet and other integrated Google Apps.
- Demonstrated ability to frequent changes in workload, independently set priorities and organize work.
- Demonstrated meeting planning and project coordination skills, tracking and data management and coordination of administrative processes.
- Demonstrated ability to adapt to changing priorities, to work independently with frequent changes in workload, set priorities, and organize own work.
- Demonstrated ability to take initiative, assume responsibility and remain flexible in a fast-paced environment with competing priorities.
- Strong skills in providing excellent customer-focused administrative support.
- Ability to anticipate and identify service needs and independently develop solutions.
- Excellent interpersonal and communications skills both verbal and written.
- Demonstrated initiative and excellent judgment in exercising discretion and interacting effectively with a variety of individuals and organizations.
- Demonstrated ability in creative problem solving, suggesting new ways of providing excellent internal and external cost-effective customer service.
- Experience with web content management using a variety of applications such as WordPress and Drupal.
Desired Qualifications:
- BA/BS degree.
- Experience with working in a research environment.
- Experience in or familiarity with DOE, Lab, or University of California policies and procedures.

Notes:
- This is a full-time, career appointment, exempt (monthly paid) from overtime pay.
- The full salary range for this position is $70,056.00 - $118,236.00. The budgeted salary range that the Lab reasonably expects to pay for this position is $84,072.96 -$92,830.56. Salary offers will be commensurate with the final candidate's qualification and experience, including skills, knowledge, relevant education, and certifications, and also aligned with the internal peer group.
