Job description
Administrative Assistant
The Administrative Assistant assists all departments, including Project Management, Accounting, Design, Construction, Safety and Human Resources, with clerical and administrative duties, as required. Includes typing/keyboarding documents, filing/retrieving, setting up for meetings, maintaining office machines and supplies, postage/mailing, and other items as needed.

Administrative Assistant Details:
- Direct Hire position
- $50,000.00 to $60,000.00 /annually
- Salaried (Monday through Friday from 08:00am to 05:00pm)
- Typing for Building and Highway projects including, but not limited to: Transmittals, Scopes, Contracts, Purchase Orders, Letters/Correspondence, Fax Cover sheets. Ability to accurately type using dictation equipment, “over-the-phone” dictation, and “direct” dictation.
- Assist staff members with INDOT bids, projects, and INDOT Site Exchange.
- Responsible for maintaining an adequate stock of general office supplies. Inventorying and reordering, as required. Assist other staff members in ordering office supplies.
- In cooperation with other staff members, maintain adequate filing system for customer project files, bid files, etc. File paperwork in a timely manner.
- Operate and maintain office machines (with exception of computer system) and supplies. Office machines include: fax machine (distribute incoming faxes, order fax supplies), copier (maintain inventory of toner & other required supplies, assist other employees with copier problems, etc.), postage meter, typewriters, etc.
- Take accurate dictation, as required
Administrative Assistant Qualifications:
- Knowledge of Microsoft Office – Outlook, Word, Excel, PowerPoint, Publisher
- Knowledge of Viewpoint Construction Software Typing/Keyboarding
- -at least 50 wpm
- Ability to understand and operate office equipment, including fax machines, calculators, postage meter, computer system, typewriter, dictation equipment.
- Ability to take dictation and/or speed writing
- Confidentiality
- Accuracy and attention to detail. Knowledgeable about proper use of the English language (grammar, punctuation & spelling).
- Professional demeanor and appearance
- Ability to operate switchboard telephone equipment accurately and efficiently. Clear, precise, audible, professional speaking voice.
- Excels at multi-tasking & works well under pressure to meet required deadlines. Ability to think, reason and act quickly.
