Job description
Position Summary:
Rutgers, The State University of New Jersey is seeking a Accounting Assistant I for the Eagleton Institute of Politics. The Miller Center on Policing and Community Resilience engages in education and public service focused on protecting vulnerable populations to enhance their safety and standing in society by improving their relationships with law enforcement, with other government agencies, and with other vulnerable communities. The Eagleton affiliated Center identifies and disseminates best practices, offers training workshops, consults on security and civil liberties, and undertakes research. The Center's policing initiatives integrate research and evidence-based best practices into police operations, violence reduction, problem-solving, community policing, education, training, and the development of criminal justice policy and practice. These efforts and findings directly help public safety professionals/agencies and community organizations more effectively protect and serve their communities.
Among the key duties of the position are the following:
- Provides planning, facilitating, and preparation of key fiscal and business administrative functions. Makes recommendations on improving the financial and business processes to improve operations and efficiencies.
- Manages complex fiscal and budget analysis, development, and tracking of all department accounts and internal, external, private, and government grants and other financial matters.
- Initiates the department's procurement process, assists in researching and obtaining quotes, prepares purchase orders and manages blankets for projects and grants.
- Prepares, reviews, and reconciles with accuracy all purchase orders, IPOs, cash transmittals, journal entries, payroll, commitments, and other financial transactions and documents. Analyzes data, prepares financial documents and reports, resolves a diverse range of problems for internal and external purposes conforming to generally accepted accounting principles and practices.
- Prepares and reconciles payroll/PeopleSoft transactions (hourly pay, other pay, charging instructions, SWRJs) and functions as the preparer for the Recruitment, Onboarding, and Classification System ( ROCS ) and the Human Capital Management ( HCM ) system.
- Reviews and processes all reimbursements for funding availability and appropriate programmatic support of the department's strategic mission and objectives.
- Assists Center leadership in developing and submitting the annual budget, including monthly and forecasting reports, as required. Attend meetings and subcommittee events for projects and grants.
- Provides administrative support to Center leadership, maintaining the office calendar, scheduling and overseeing preparations for meetings, trainings, and events, external unit communications able to work autonomously to handle confidential matters and diffuse any issues prior to addressing Center leadership. Assist with virtual communications, mailings, and website operations.
- Maintains department files, records, and reports as required by the university, state, federal, and other sponsored programs policies and regulations.
- Works independently with broadly defined work objectives and limited review of overall results.
- On occasion, all members are asked to participate in Institute-wide and/or cross-team projects.
Minimum Education and Experience:
- Requires a bachelor's degree preferably in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience.
- Also requires two years of relevant experience that demonstrates knowledge and understanding of general accepted accounting principles and practices.

- Able to use various pieces of software that provide financial reporting capabilities.
- Should have intermediate knowledge of video conferencing services to include Zoom, Microsoft suite such as Word, Excel, Teams, and One Drive.
