We're currently seeking a Post Production Assistant to provide comprehensive administrative support to the post-production team. The ideal candidate should possess exceptional organizational skills, excel at multitasking in a dynamic environment, and demonstrate proficiency in communication and collaboration across various levels and personalities. Responsibilities: Administrative Support - Schedule and coordinate virtual and in-person meetings.
- Arrange travel accommodations through Concur.
- Manage lunch reservations.
- Handle receipt submission and expense tracking on Concur.
- Update and distribute Teams Links for impromptu meetings.
- Provide timely reminders for calls and important/urgent tasks.
- Communicate effectively with the entire team regarding updates and changes.
Logistics and Equipment Management - Oversee shipping and receiving of drives, equipment, and packages.
- Maintain and track inventory of drives, iPads, and equipment using Asset Tiger and Google Drive.
- Update the project whiteboard as needed.
- Update distribution lists for all shows in post-production.
Content Distribution and Coordination - Facilitate internal and external distribution of final episodes or cuts via Media Silo and Screeners.
- Assist in agenda creation for feature meetings with the post-production team.
- Coordinate NDAs for future candidates or roles on projects and organize documentation on OneDrive.
- Compile candidate lists via IMDB for review or dissemination.
Requirements: - Bachelors degree or equivalent experience in a related field.
- Previous experience in administrative support roles in a related field preferred.
- Proficiency in scheduling, travel booking, and expense management tools (Concur).
- Familiarity with asset management systems (Asset Tiger) and collaboration platforms (Google Drive, Airtable, OneDrive).
- Basic video editing skills using Adobe Premiere (preferred but not mandatory).
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
