Job description
Reporting to the Practice Manager, the Medical Office Assistant is responsible for interacting with patients in a healthcare setting and managing administrative tasks for the medical team. The Medical Office Assistant functions in a dual role, performing both clinical and clerical responsibilities.
Administrative
- Organize and prioritize daily work tasks to ensure the physician’s schedule runs smoothly and all patient needs are met.
- Provide Front Office coverage, patient check-in, escort patient to exam room, verify current medication list and document. Patient check-out, collect insurance co-pays, schedule patient follow-up appointments.
- Maintain confidentiality and patient rights in interactions with patient/family and other Healthcare workers.
Back Office Support
- Answer and address incoming patient clinical calls.
- Write up patient inquiries and route to physician regarding patient concerns.
- Place phone calls to the patients regarding physician’s answers to concerns and document in patient medical record.
- Write up Prescription Refill Requests and route to physician.
- Fax/phone-in authorized prescription refills/new prescriptions and document in patient medical record.
New and Established Patient Appointment Scheduling
- Accurately enter patient information and demographics into practice management software.
- Review and verify Insurance coverage before patient appointments.
- Obtain and track all necessary referrals as required by medical insurance plans prior to scheduled appointments.
Other/Clinical Responsibilities
- Label skin biopsy bottles and skin culture specimens following practice protocols - Complete lab requisition forms and daily specimen logs - Register/verify patient information in Athena for pathology lab.
- Clean exam rooms between patients.
- Sterilize and package medical instruments.
- Room patients.
- Perform clinical tasks as assigned by the Practice Manager or Lead.
- Utilize team leader and/or practice manager as a resource.
Minimum Qualifications:
- High School Diploma / GED equivalent required.
- 2-5 years medical office experience required.
- Prior clinical experience or certification preferred.
- Associates Degree preferred or equivalent amount of education and experience.
- Some college coursework towards a degree completed preferred.
Skills, Knowledge, & Abilities:
- Medical Billing and Practice Management Software knowledge a plus
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite or related software.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills, attention to detail and follow-through.
