Summary:

The Procurement Specialist is central to the efficient operation of the Vendor Management and Procurement Team at ZipRecruiter.  This role will be responsible for guiding ZipRecruiter employees and vendor partners through the procurement process. A strong Procurement Specialist candidate will be comfortable with numbers and be capable of critically analyzing quotes, orders and contracts.  

The Procurement Specialist will facilitate the day to day procurement processes and take ownership over several related work streams. The role will be responsible for finding ways to further streamline the process, while helping to make sure it is effective for the company and a great experience for ZipRecruiter employees.  In particular, the Procurement Specialist will handle vendor renewals and use that opportunity to build strong relationships with colleagues and our vendors.

Responsibilities: 

• Carefully review procurement requests from various ZipRecruiter teams and route them appropriately
• Proactively seek out additional information (set up meetings, calls, cross-team discussions) to determine procurement needs
• Develop a strong working relationship with the key partners in the procurement process (Legal, Compliance, Finance, Security, etc.). 
• Recommend automation, features, improvements, or optimizations to the procurement process
• Advise and guide internal teams on the process to ensure that procurement feels accessible and approachable by all teams
• Handle primary communication with vendors, opening negotiation discussions, holding the line on ZipRecruiter’s standard terms, ensuring useful notes are kept after each vendor meeting, and driving the contract review and signing process to completion
• Improve upon and engage with the Vendor Management software system
• Work with internal teams to review external software licenses and recommend consolidation where appropriate 
• Proactively check in with internal teams ahead of software renewals and schedule negotiation discussions in advance of key dates
• Serve as a project manager for day-to-day tasks and ad-hoc projects. 
• Collaborate with internal teams to escalate concerns about vendor performance
• Track procurement spend using internal accounting software, supporting accurate financial forecasting and reporting
• Be a subject matter expert on vendor data management, procurement policies processes and best practices
• Have experience with Jira, NetSuite, and OneTrust to plan data integration from systems, ensuring seamless connectivity and data integrity
• Embrace the ZipRecruiter culture, an open and data-centric approach to collaboratively making decisions

Minimum Qualifications: 

• 5+ years of hands-on experience with procurement in a corporate environment
• Demonstrated experience communicating professionally with vendors 
• Strong ability to multitask, ensuring projects remain on track
• Exceptional attention to detail, especially with regard to money and payments
• Previous experience establishing processes and influencing others to engage in the process
• Previous successful experience in a role that required respecting confidential information
• Strong familiarity with Google Workspace applications (Google Docs, Sheets, Slides, Calendar), Slack, and ticketing systems like Jira preferred
• Working knowledge of NetSuite
• Strong data entry skills

The US base salary range for this full-time position is $72,500-$105,000. Our salary ranges are determined by role, level, and location, and the range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location, role-related knowledge and skills, depth of experience, relevant education or training, and additional role-related considerations.

Depending on the position offered, equity, bonuses, commission, or other forms of compensation may also be provided as part of a total compensation package, in addition to a full range of medical, financial, and other benefits.
