Overview
The Program on Science and Global Security (SGS), part of the Princeton School of Public and International Affairs (SPIA), seeks to hire a Program Manager to work with Program leadership, faculty members and researchers on projects related to scientific, technical and policy research, analysis and outreach to advance national and international policies for a safer and more peaceful world. The ideal candidate would be able to take on a wide range of tasks, including (1) budgeting and labor accounting; (2) grant management and applications; (3) recruitment and hiring of staff, including onboarding and working with vendors and contractors; and (4) program administration, reporting, communications, and event planning.
The Program, which was founded in 1974, is one of the oldest and most highly regarded academic programs focused on technical and policy studies on nuclear issues in the world. It focuses on advancing nuclear arms control, nonproliferation, and disarmament to reduce the dangers from nuclear weapons and nuclear power. The Program has about twenty faculty and researchers affiliated with it, including visitors, and a small number of PhD students.
Duties and Responsibilities:
Budget and Finance: The Program Manager develops and implements the Programâ™s operational budget, in close collaboration with Program leadership. This includes management of sponsored research grants and fund accounts from donors which are earmarked for specific purposes. The Program Manager advises the faculty on current spending levels and available funds, and is responsible for careful and appropriate financial management. The Program Manager monitors spending and provides regular, timely analysis and multi-year projections of the available funds.
Grant Management and Applications: The Program Manager develops budgets for new research grants, compiles grant application materials, drafts contractual arrangements with collaborating institutions, tracks expenditures, supervises subcontracts and agreements with outside institutions, submits requests for no-cost extensions, coordinates production of interim and final reports, and donor reporting for grants. Funding partners generally are nonprofit foundations. Program Manager collaborates with the Financial Management Office at the Princeton School of Public and International Affairs and Princeton University's Office of Research & Project Administration.
Recruitment and hiring of staff: The Program Manager assists Program leadership with hiring staff, postdoctoral, predoctoral, and visiting researchers, contractors, casual hourly staff and student research assistants as needed. The Program Manager supervises entries in the Time Collection and Labor Accounting systems, and tracks human resource expenditures within projects.
Program administration, reporting, communications, and event planning: The Program Manager manages office space and equipment, and communicates with Facilities; helps maintain the SGS website, which includes posting news items, announcements, events, and maintaining personal pages on the site; helps draft reports to foundation funders and donors and to SPIA and gathering, organizing, and preparing materials for the Programâ™s Annual Report; helps with developing the Programâ™s social media; coordinates with outside contractors; and provides support as needed to the Programâ™s Administrative Assistant who handles event planning (seminars, workshops, and other events) and is responsible for office supplies, mailings, and expense reports.
Essential Qualifications:
Bachelorâ™s degree required;
Management experience at an institution of higher education;
Demonstrated experience in budget management, financial reporting, procurement and financial oversight;
Experience in managing grants from philanthropic foundations and donor gifts;
Experience in supervision and/or human resource management;
Strong communication skills;
Strong interpersonal skills, with exceptional judgment and discretion;
Strong organizational abilities, and capacity to manage and prioritize multiple activities;
Proficiency in Microsoft Office programs particularly Excel;
Relevant skills, competence, and ability to work with colleagues across disciplines.
Capacity to work independently
Additional Qualifications:
Background knowledge on topics related to science and global security is welcome;
Aptitude to learn new software applications;
Interest in further developing communication skills, including social media.
